Job Description ProspectBlue is partnering with a law firm in Richmond, VA, to identify a motivated and detail-oriented Litigation Legal Assistant to provide primary administrative support to four associate attorneys. Key Responsibilities Prepare, draft, and revise attorney correspondence, including engagement letters, letters of representation, and other legal correspondence and filings. Open new matters, coordinate conflict-of-interest checks with file room records, and maintain client and general files with minimal supervision.

Conduct periodic file reviews, identify matters eligible for storage, and prepare files for closure in accordance with firm procedures. Manage attorney calendars, deadlines, and reminder systems while utilizing the firm's master calendar. Schedule appointments and coordinate meetings as needed.

Enter, update, and post attorney time records accurately and promptly. Process invoices, proof billing sheets, and review and make necessary billing edits. Screen incoming calls, take accurate messages, and ensure telephone rollover lines are properly covered.

Sort, date, distribute, and file incoming mail, as well as coordinate timely delivery of outgoing correspondence. Arrange delivery through appropriate courier or service when needed and monitor delivery to ensure deadlines are met. Welcome clients and visitors and provide a professional, courteous experience while maintaining strict confidentiality regarding attorney-client matters.

Provide additional administrative support, including typing, filing, electronic filing, photocopying, and reception coverage as workload permits and as requested by attorneys or the Human Resources Manager. Work overtime when necessary, particularly to assist with trial and hearing preparation. Qualifications At least two years of experience working as a Litigation Legal Assistant.

Current litigation experience within a law firm environment is preferred. Strong proficiency with Microsoft Office, particularly Word, Outlook, and Excel. Excellent typing, organizational, written, and verbal communication skills.

Demonstrated ability to maintain confidentiality and exercise sound judgment. Exceptional attention to detail and accuracy. Professional, courteous, and positive demeanor.

Ability to accept feedback and incorporate it effectively into daily work. Familiarity with document management systems such as NetDocuments, as well as billing and time-entry software, is a plus. Knowledge of federal and state electronic filing procedures is preferred.
