The Subcontractor Operations Leader (SOL) provides support to the SH SYG, collaborating with the Safe Harbor Sales, Project Development, Project Management, and Business Management Teams, and Partner Companies at SH LMC, Rybo, and SYC. The SOL is responsible for overseeing all subcontractor-related activities throughout the project lifecycle, from pre-proposal planning to post-project review. This role ensures that subcontractor work aligns with Safe Harbor Service standards for Quality, Budget, Schedule, and Safety. The SOL acts as the primary liaison between subcontractors and internal teams, fostering collaboration, enforcing operational standards, driving continuous improvement, and ensuring achievement of Partner Company business objectives. This position may be referred to as a Service Advisor.
Responsibilities:
  • Collaborate with Sales, Project Development, Trade, and Operation Planning Teams to identify subcontractor requirements.
  • Provide subcontractor recommendations and vet new vendors.
  • Attend pre-kickoff and customer kickoff meetings.
  • Assist in generating preliminary schedules and budgets to ensure subcontractor alignment on expectations.
  • Develop and review POs and AWAs in coordination with PMs.
  • Manage subcontractor schedules, quality reporting, and budget adherence in partnership with the Project Manager.
  • Monitor subcontractor performance and enforce safety, IPQA, and cleanliness standards.
  • Provide daily reports and updates to PMs and vessel representatives.
  • Serve as the primary point of contact for all subcontractor communications, conflict resolution, and coordination across multiple technical disciplines.
  • Support the development and distribution of subcontractor AWAs, POs, and updated task schedules.
  • Participate in post-project review meetings and submit lessons learned, including comparison of preliminary and actual production schedules and budgets.
  • Manage warranty claims and subcontractor performance feedback.
  • Maintain and update the SHSYG Preferred Subcontractor Register and CRM.
  • Support contractor growth by sourcing, onboarding, and mentoring subcontractors.
  • Conduct morning and afternoon facility rounds to engage subcontractors and ensure alignment.
  • Attend and contribute to daily action plan (DAP) and production meetings.
  • Oversee contractor relations including contracts, insurance, parking plans, and onboarding.
  • Ensure subcontractor proposals are complete, detailed, and aligned with project timelines and quality expectations.

Requirements:
  • Minimum 5 years of shipyard or marine project management experience, including complex problem-solving.
  • Proven success in subcontractor coordination, vendor management, and project delivery.
  • Strong knowledge of marine subcontractor trades (paint, hot work, HVAC, tank work, confined space, etc.).
  • Familiarity with Classification Societies: LR, ABS, DNV, BV, GL, RINA.
  • Proficiency in MS Office (Excel, Word, Outlook) and CRM tools.
  • High energy and results-driven with strong leadership and decision-making skills.
  • Excellent communication, negotiation, and conflict resolution abilities.
  • Customer service focused with the ability to build strong relationships.
  • Humble, respectful, and team-oriented with a high level of integrity.
  • Effective under pressure and adaptable in a dynamic shipyard environment.

Safety and Environmental Responsibilities
  • Follow SHM Safety and Environmental rules and complete required related training.
  • Wear proper personal protective equipment (may include safety glasses, gloves, life jackets and/or hard hats) as required for the task or work area.
  • Report all accidents, injuries, spills and near misses immediately.

Technical and Physical Requirements
  • Bachelor's degree in a related field or equivalent experience
  • Prior marina experience preferred
  • ABYC and/or manufacturer certifications preferred
  • Ability to sit or stand for long periods of time
  • Ability to lift 20 pounds
  • Any skills considered standard that a Service Advisor should possess
