Assembly - Fulfillment Project Coordinator

Pay/Schedule

Under general supervision and following established procedures, the Assembly-Fulfillment Project Coordinator is responsible for performing a variety of routine to moderately complex fulfillment work activities in accordance with general work instructions and established fulfillment practices. Coordinates materials and processes necessary for start-up of assembly and fulfillment projects.
Performs various administrative and Assembly/Fulfillment related tasks and demonstrates effective and efficient performance in accordance with Great Northern quality and efficiency standards.
Partial Position Summary
ESSENTIAL DUTIES AND RESPONSIBILITIES INCLUDE THE FOLLOWING. OTHER DUTIES MAY BE ASSIGNED.
  • Maintains fulfillment production schedule in Excel to include, but not limited to, adding new jobs by scheduled release date, tracking progress of each job, reconcile against project schedule to ensure that all jobs are included, reconcile with production report, and communicate with Project Management to resolve missing order information and calendar entries/attachments.
  • Assists in leading daily transition meeting between shifts. Provides 1st and 2nd shift with updated project schedules and communicates any production issues/changes to 2nd shift in order to facilitate a smooth transition between shifts, citing any deadlines that are approaching.
  • Measures product dimensions to determine accuracy of machine operation and performs quality inspection of finished product.
  • Provide kitting oversight by ensuring all components required for a specific assembly fulfillment project (hardware, instruction sheets, shippers, parts, etc.) are staged and ready for the assembly team. Coordinate the daily assembly schedule based on open orders, priority levels, and available labor. Monitor order queues to identify bottlenecks and make recommendations on staffing or resources to meet shipping deadlines.
  • Work Cell Optimization: Organize the physical layout of assembly stations to maximize efficiency and minimize movement waste by applying lean manufacturing principles.
  • Collaborates with a cross functional team to perform First Article Inspections (FAIs) and ensures that quality checks are being performed at regular intervals. Verifies that the first unit of any project run meets the exact specifications of the work order prior to releasing to production.
  • Develop and maintain Standard Operating Procedures (SOPs), and ISO Quality Work Instructions (QWIs) by collaborating with Quality department and the ISO representative. Assist with training initiatives that includes existing team members, and new hires on specific assembly techniques and software (ERP systems, spreadsheets, documents, etc.) to ensure consistency across all shifts and team members.
  • Member of the safety committee. Enforce PPE (Personal Protective Equipment) usage and ensure the production floor remains clear of hazards.
  • Leverage customer provided SDS (Safety Data Sheet) to identify hazards associated with customer supplied product (CSP) and educate affected personnel on safety practices when handling the items.
  • Coordinate with distribution team and small-parcel services (UPS/FedEx) to ensure proper management of critical orders. Ensure correct freight service level is chosen to best support on-time arrival and validate small parcel labels are correct prior to providing to the Assembly Fulfillment team.
  • Leverage ERP system to ensure the correct SKU and quantity are shipped for all instore projects.
  • Assists in determining expected labor needs for each day based off of schedule and other pertinent information.
  • Communicates company policies to workers and enforces company safety policies and ensures compliance with OSHA rules and regulations.
  • Create a job folder for each job to include a parts list and location, quality sheets, checklist, and training sheet.
  • Ensure quantities produced are sufficient for project demand. Checks product database for timely arrival of customer supplied product and investigate any purchased parts not received to identify PO discrepancies and communicate with project management for follow-up.
  • Ensure customer Bill of Materials (BOM) is reconciled against orders entered in ERP system.
  • Assist Assembly Manager, Fulfillment Coordinators, and Assembly Fulfillment Leads with determining estimated run speeds per project and communicate production expectations to ensure production standards are met.
  • Update production and time tracking to monitor productivity results versus expectations and analyze any variances and assist in determining solutions.

  • Leverage ERP system to investigate any shortage/discrepancy of parts during production and any over or under builds in Assembly, and monitor/report waste or damaged components during the assembly process.
  • Assist with receipt of timesheets from line leads and reconcile with department leaders and temporary staff services total hours report. Investigate any differences to ensure accurate charges by Manpower and costs accumulated by each job.
  • Assure all jobs are closed out by verifying quantities finished, entering hours into task time, entering hours into Imaginera job costing, moving task summary excel file to completed jobs folder. Confirm any gain/loss and inform the Assembly Manager to identify reasons and correct for future orders.
  • Assist Assembly Manager with month-end reporting activities by identifying work in progress and items to be purged at month-end in coordination with inventory personnel for consistent reporting. Support cycle counting efforts by performing regular inventory audits of both raw components and finished goods to maintain 99%+ data accuracy. Act as the primary point of contact for order statuses and production planning by attending daily production scheduling meetings. Assures effective, timely, professional communication between Assembly Fulfillment personnel, Customer Service, Sales, Project Management, and Clients through email, calendar, phone, radio, etc.
  • Oversee the production and staffing of Print Room to ensure instructions sheets and labels are produced in alignment with Assembly Fulfillment scheduling needs.
  • Regular and reliable attendance.
  • Due to the work of our customers' demand this role will require additional hours to be worked as needed during peak times, which will include weekends.
  • Assists the Distribution & Warehouse Manager, Assembly Manager, and all Assembly personnel with special projects as assigned.
  • Establish and maintain a "Team Atmosphere".
  • Performs a variety of miscellaneous job-related tasks that may be assigned by a management representative from time to time.

KNOWLEDGE, SKILLS AND ABILITIES
  • High school diploma or General Education Degree (GED) and a minimum of two years' related work experience or the equivalent education.
  • Must be able to speak, read and write in English.
  • Must be able to work in a team environment.
  • Excellent interpersonal communication skills in both oral and written format.
  • Proficient in Microsoft Office software (Word, E-mail, Outlook and Excel) spreadsheet applications. Exposure to other computer software as needed.
  • Ability to write legibly to record information and fill out forms.
  • Self-motivation and ability to work with minimal supervision.
  • Accuracy in work and strong attention to detail.
  • Ability to define problems, collect data, establish facts and draw conclusions.
  • Ability to perform mathematical calculations involving adding, subtracting, multiplying and dividing fractions, decimals, and percentages.
  • Ability to prioritize and handle multiple tasks and ability to solve problems with quality in mind.
  • Capable of dealing with deadline pressures.
  • Ability to have a sense of urgency and ability to move from one task/assignment to another on short notice.
  • Demonstrated ability to read, understand, and apply ISO principles and procedures.
  • Ability to apply common sense and understanding to carry out instructions furnished in written, oral, or diagram form.
