Job description

This position is responsible for administrative support for the Olympia Export Yard and sales/marketing functions. The role includes accounts receivable and payable work, inventory, contract generation and management, special project work and general office duties. In addition, it requires consistent, professional interaction with customers, outside agencies, contractors, the general public and the ability/willingness to occasionally travel. This role reports to the Olympia Export Manager.

Key Functions: 

  • Manage accounts receivable accounts - produce statements, process payments, credits and refunds.
  • Assist finance and planning team with investigations of variances/issues and serving as liaison between the business and corporate accounting teams.
  • Maintain the customer database - contract mail/email dates, payments and tax status.
  • Maintain files of original documents, including overseeing the record retention process.
  • Field phone calls for the managers and assist with responding to customer requests.
  • Business systems support for programs. (Programs: LIMS/CAPS, Abecas, UKG, SAP, Weighwiz)
  • Help drive and support the yard safety program - ordering supplies, managing various components of the site safety plan, track employee safety training and monthly meetings.
  • Coordinate site ergonomic, health and wellness and hazardous materials programs.
  • Manage the safety program documentation through the Seeds tracking system.
  • Site coordinator for IAuditor.
     
  • Minimum of three years administrative experience or related field.
  • Demonstrated commitment to safety and safe work practices.
  • Ability to interact with all levels of the business.
  • Skill in developing interpersonal relationships, professional communication skills (verbal and written) and organization.
  • Experience with handling confidential and proprietary materials with discretion. Proficient in Microsoft Word, Excel, PowerPoint, Outlook, Power BI and SharePoint.
  • Proven ability to prioritize and accomplish multiple unrelated tasks simultaneously with minimum supervision.
  • Willingness and means to work in a team environment.
  • Demonstrate a high degree of initiative and commitment to "flow to work" as peaks in cyclical tasks and business priorities necessitate.
     

Desired:

  • AA Degree in business or related field.
  • Two years of accounts receivable experience.
  • Experience working in a sales/marketing organization.

Compensation: This role is eligible for our annual merit-increase program, and we are targeting an hourly range of $24.10 - $36.11 based on your level of skills, qualifications and experience. You will also be eligible for our Annual Incentive Program, which offers a cash incentive targeting 5% of base pay. Potential plan funding may range from zero to two times that target.
