Job description

E-logic is seeking an organized and reliable Mail and File Management Specialist to anchor the logistical and administrative hub of the U.S. Trade and Development Agency (USTDA) personnel. In this vital role, you will securely manage the flow of unclassified mail and packages, maintain precise shipping logs, and provide essential administrative support, including executive calendar coordination and visitor greeting. This position is strictly 100% onsite at USTDA Headquarters in Arlington, VA; telework is not permitted.


Key Responsibilities

  • Intercept, sort, inspect, and safely distribute all incoming unclassified mail, priority parcels, and government couriers.
  • Maintain comprehensive, error-free logs for all incoming and outgoing mail, tracking delivery signatures, weight metrics, and freight accounts.
  • Prepare, package, label, and register high-priority outbound shipments using federal transit tracking mechanisms or commercial carriers.
  • Provide back-up executive calendar management, booking meetings, resolving schedule conflicts, and issuing digital reminders.
  • Coordinate the professional intake, reception, and physical greeting of agency guests, driving a hospitable and secure environment.
  • Maintain organizational order across the central mail facility and proactively assist with physical layout configurations of shared meeting spaces.


Requirements

  • Secret Clearance is mandatory.
  • 1-3 years of office support, mail room operations, or corporate logistics experience.
  • High school diploma required (higher education preferred).
  • High organizational capability to maintain detailed digital ledger trails.
