Job description

The Construction Billing Specialist manages full-cycle progress billing and compliance documentation for the company's construction projects. This role works closely with Project Managers and client accounting contacts to ensure accurate project invoicing, execute lien waivers, and maintain compliance across third-party contractor billing portals.
Key Responsibilities:
  • Prepare and submit monthly AIA progress billings and project draw schedules based on contract requirements
  • Upload and track monthly billing applications within third-party general contractor systems (e.g., Textura, GCPay, Procore, Supply Pro)
  • Conduct proactive weekly collection calls and email outreach to ensure invoices track toward scheduled payment dates
  • Track, request, collect, and issue conditional and unconditional lien waivers
  • Notarize pay applications and compliance documents as required by contract terms
  • Organize and maintain approved pay applications, signed waivers, and related correspondence on the company's shared drive per department protocol
  • Partner with Project Managers and client accounting contacts to research and resolve billing or compliance issues
  • Perform daily contract tracking and billing data entry in Deltek ComputerEase or other designated ERP
Minimum Requirements:
  • 2+ years of transactional accounting or billing experience in the construction industry (multi-family, commercial, or residential)
  • Strong understanding of schedule of values, percentage-of-completion billing, retainage tracking, and the lien waiver lifecycle
  • Valid Texas Notary Public commission (or willing and eligible to obtain immediately upon hire)
  • Proficiency in Microsoft Excel; experience with third-party billing portals (Textura/GCPay) preferred
  • Excellent professional communication skills, strong attention to detail, and reliable adherence to billing deadlines
