Shipping & Receiving Coordinator

Department: Operations / Production
Reports To: Operations Manager / Production Manager
Location: Onsite Sign Group - Acheson

Position Summary

The Shipping & Receiving Coordinator is responsible for the efficient handling, receiving, storage, organization, and shipment of signage materials, components, and finished products. This role ensures that all incoming and outgoing deliveries are accurately processed, inspected, documented, and coordinated to support production schedules and installation timelines.

The successful candidate will be highly organized, detail-oriented, safety-conscious, and able to work effectively in a fast-paced sign manufacturing environment.


Key Responsibilities

Receiving

  • Receive and inspect incoming shipments for accuracy, quantity, and quality.
  • Verify received goods against packing slips, purchase orders, and delivery documentation.
  • Report shortages, damages, or discrepancies to management and suppliers promptly.
  • Label, organize, and properly store received materials and products.
  • Maintain accurate receiving records within company systems.

Shipping

  • Ensure all shipments are packaged safely and securely to prevent damage during transport.

Inventory Control

  • Maintain organized warehouse and storage areas.
  • Monitor inventory levels of materials, hardware, and supplies.
  • Conduct regular inventory counts and assist with annual inventory audits.
  • Identify inventory shortages and communicate purchasing requirements.
  • Ensure inventory records remain accurate and up to date.

Vehicle & Equipment Maintenance

  • Assisting with keeping all assets in good working order.
  • Assisting with ensuring that all assets are washed and cleaned at all times.

Installation Support

  • Prepare and stage materials for installation teams.
  • Assemble installation packages including drawings, hardware, and project documentation.
  • Coordinate material transfers between departments and project sites.
  • Assist installers with loading and unloading vehicles.
  • Verify all materials required for installations are available and accounted for before deployment.

Warehouse Organization & Safety

  • Maintain a clean, organized, and safe warehouse & yard environment.
  • Operate forklifts, pallet jacks, and other material handling equipment safely and responsibly.
  • Follow company safety policies and procedures.
  • Ensure proper storage and handling of materials, tools, and equipment.
  • Participate in safety meetings and training programs.

Administrative Duties

  • Maintain shipping and receiving logs.
  • File and organize freight, courier, and supplier documentation.
  • Assist with freight claims and return shipments.
  • Coordinate with project managers, production staff, installers, and vendors regarding material movement and delivery schedules.
  • Support continuous improvement initiatives related to warehouse and logistics operations.


Required Qualifications

  • Minimum 1-3 years of shipping, receiving, warehouse, or logistics experience.
  • Valid driver's license with a clean driving record - experience with pulling a trailer
  • Ability to safely lift up to 50 lbs (23 kg) on a regular basis.
  • Basic computer skills including Microsoft Outlook, Excel, and inventory management systems.
  • Strong attention to detail and organizational skills.
  • Ability to prioritize tasks and work independently.
  • Strong communication and teamwork abilities.


Preferred Qualifications

  • Experience in the signage, manufacturing, construction, or fabrication industry.
  • Forklift certification or willingness to obtain certification.
  • Knowledge of freight and courier shipping procedures.
  • Understanding of sign manufacturing components and installation processes.
  • Must have experiences driving trucks (all sizes) and trailers (3 - 5 years).

Work Schedule: Monday to Friday (7 AM to 4 PM with hour lunch), overtime as needed
