Job description

Shipping Specialist Summary

We are seeking a highly organized and detail-oriented individual to join our team as a Shipping Specialist. The successful candidate will play a crucial role in ensuring the safe and efficient transportation of pharmaceutical products from manufacturing facilities to distribution centers and ultimately to end-users. This position requires a strong understanding of pharmaceutical shipping regulations, attention to detail, and excellent communication skills. While specific job descriptions may vary depending on the company, here is a general overview of the responsibilities and qualifications typically associated with the role:


Verifies receipt of shipping request, material on hand, and capacity before preparing and scheduling a shipment.

Confirms personnel, packaging material, and equipment availability for shipment before they are scheduled.

Creates, updates, and manages a outbound shipping dashboard to provide visibility into the timing of the shipment and its corresponding status (stagged, delayed, shipped, in preparation) to provide updates daily.

Interprets and communicates special requirements to appropriate personnel.

Ensures schedule stability by minimizing short term changes.

Creates, executes and monitors outbound shipments until they have reached their final point of destination.

Maintains effectiveness of the Quality System components relevant to this position.

Responsible for updating existing reports and developing new ones

Responsible for tracking departmental performance metrics, as required

Work closely with all internal and external suppliers and vendors

Works closely with vendors, monitoring their performance, evaluating their shipping execution and determining if services provided are sufficient or if additional providers need to be explored and qualified for use for the site

Maintain work area to 5S standards as posted in work area

Maintain SOPs (Standard Operating Procedure) for all duties and tasks

Essential Job Functions:

  1. Coordinate Shipping Operations:
    • Manage and oversee the end-to-end shipping process for products, including packaging, labeling, and documentation.
    • Collaborate with internal teams to schedule shipments based on production timelines and inventory requirements**.**
  2. Compliance and Documentation:
    • Ensure compliance with local and international shipping regulations, including Current Good Documentation Practice (cGDP) and other relevant guidelines.
    • Prepare and maintain accurate shipping documentation, including bills of lading, shipping manifests, and customs declarations.
  3. Quality Assurance:
    • Implement and enforce quality control measures to guarantee the integrity and safety of products during transportation.
    • Perform regular checks on shipping processes to identify and address any deviations from standard operating procedures**.**
  4. Communication and Coordination:
    • Liaise with logistics partners, carriers, and customs officials to coordinate the smooth flow of shipments.
    • Communicate proactively with internal stakeholders to provide updates on shipping status and address any issues that may arise**.**
  5. Risk Management:
    • Identify potential risks in the shipping process and implement preventive measures to mitigate them.
    • Respond promptly to shipping-related incidents or deviations from established procedures.

Special Job Requirements:

High School/GED

Bachelor's degree preferred

2-5 years of cGMP experience shipping (or another regulated industry) required

Must be able to read and understand English-written job instructions and safety requirements.

Successful experience interacting and collaborating with internal and external clients, customers, and/or suppliers required

Experience using electronic ERP and Material Management systems required

Strong organizational skills with the ability to manage multiple tasks simultaneously.

Excellent communication and interpersonal skills.

Attention to detail and a commitment to maintaining high-quality standards.

Proficient in using shipping software and Microsoft Office applications.

Detail-oriented and highly organized.

Ability to work independently and collaboratively in a team.
