Job description

ESSENTIAL DUTIES AND RESPONSIBILITIES

Core Shipping Duties

  • Create shipping labels according to shipping forms filled out by the sender.
  • Live track outgoing packages to ensure delays are promptly handled.
  • Schedule and monitor pickups from third-party services like UPS, FedEx, or freight haulers.
  • Understand and abide by regulations for shipping dry ice parcels (lab and research will send these out regularly, it is important these shipments are handled as urgent since it is typically live tissue).
  • Obtain rate quotes to find the most cost-effective shipping methods.
  • Identify the most efficient and protective packing material for each shipment.
  • Understand freight and air freight requirements.
  • Abide by hazardous materials shipments accordingly following all dot regulations and air freight.
  • Work with carries for special shipments such as ocean containers & hazmat.
  • Communicate with incoming freight drivers each day delivering goods.
  • Check incoming goods against purchase orders and packing slips to verify contents and identify discrepancies.
  • Inspect shipments for damage or defects upon arrival.
  • Contact the department whose shipment has just arrived and coordinate delivery or a storage location.
  • Stocking: Organize and distribute received items to their proper storage locations.
  • File and maintain shipping request forms for a minimum of 6 months.
  • Keep the area clean and organized, adhering to safety protocols.
  • Cost center and shipper name must be listed on all outgoing shipments for accounting purposes.
  • Schedule LTL Freight as needed.
  • Band, shrink wrap and palletize per freight carries requirements.
  • Email Departments receive perishable packages or dry ice labeled parcels, as these are time-sensitive and need to be stored accordingly.

Minor Exporting Responsibilities

  • Documentation Preparation: Create essential international forms, including Commercial Invoices, Packing Lists, and Bills of Lading.
  • Ensure Phytosanitary certification is provided for all seed shipping international.
  • Confirm with department they have provided all necessary international documents required the destination country for import.
  • Assign the correct Harmonized System (HS) codes to products to determine applicable duties and taxes.
  • lncoterms Management: Follow agreed-upon shipping terms (e.g., DDP vs. DOU) to determine whether the exporter or receiver is responsible for paying duties and taxes.

USPS

  • Check lobby mail each day by 9am.
  • Schedule daily trips to USPS office.
  • Distribute incoming mail to appropriate personnel.
  • Assist accounting with stamping and mailing outgoing mail each week (usually).
  • Assist with certified mail, parcel insurance and other USPS needs as requested by departments.

EDUCATION AND EXPERIENCE

Education – High School Diploma or equivalent required.  Associate’s degree or higher preferred.

SKILLS AND COMPETENCIES

  • Proficient in MS Office applications.
  • Ability to interact professionally and courteously with clients, customers, office personnel and contractors
  • Excellent verbal and written communication and customer service skills
  • Strong attention to detail while maintaining a high degree of accuracy
  • Ability to handle and prioritize multiple tasks and stay organized
  • Ability to work independently, and meet required deadlines
  • Requires frequent standing, walking, sitting, and handling
  • Lifting requirements: 15 lbs. frequently, up to 30 lbs. regularly.
  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals
  • Ability to write routine reports and correspondence
  • Must have and maintain a valid driver license during the course of employment
  • Driving record must meet RiceTec Safety Standards
  • Experience shipping via UPS, FedEx, DHL and freight forwarder preferred but not required.
  • Other duties as assigned.
  • On-site work required, M-F.
