Position Summary:

The Shipping & Receiving Specialist oversees the entire shipping and receiving process, ensuring accurate handling of materials, proper documentation, and effective inventory management. This role leads daily operations, coordinates shipments, verifies inbound and outbound goods, and supports inventory control activities while maintaining compliance with quality and safety standards.

The Specialist will work independently and collaboratively to optimize shipping and receiving workflows, troubleshoot operational challenges, and contribute to team training and development.

Position Responsibilities:

  • Receive, inspect, and verify the accuracy and quality of incoming shipments, including checking for damage and compliance with purchase orders.
  • Lead morning start-up meeting and initiate the shift.
  • Process incoming and outgoing shipments in the system, generate shipping/receiving documentation, and track all logistics activities.
  • Match purchase orders to sales orders, prepare outgoing shipments, and ensure completeness, accuracy, and integrity of all documentation.
  • Verify quantity and inspect inbound items, label inbound materials.
  • Select shipments for the day/week and prepare picking lists for sales orders (SO).
  • Update container information and print container documents 
  • Book trucks and pickups; manage shipments and drop shipments.
  • Data entry for small parts and sales orders; create Advance Shipping Notices (ASN).
  • Organize warehouse space for efficient storage and retrieval of materials, including managing high-density storage and staging areas.
  • Coordinate delivery schedules with carriers, freight forwarders, and internal stakeholders to ensure timely receipt and dispatch of goods.
  • Load and unload trucks, containers, and pallets safely and efficiently while adhering to weight and handling guidelines.
  • Maintain accurate inventory records, conduct cycle counts, reconcile discrepancies, and support periodic audits.
  • Monitor, evaluate, and continuously improve shipping, receiving, and logistics processes to increase efficiency, reduce errors, and lower operational costs.
  • Operate forklifts, pallet jacks, and other warehouse equipment safely and according to company protocols.
  • Provide excellent customer service by responding to internal and external inquiries, resolving shipping/receiving issues, and escalating concerns as needed.
  • Assist in training new team members, sharing best practices, and ensuring compliance with company standards.
  • Perform facility maintenance tasks such as organizing work areas, disposing of waste, and ensuring equipment is in proper working order.
  • Ensure compliance with EHS standards, company 5S policy, and all safety regulations.
  • Prepare shipment reports, reconcile daily logistics activities, and communicate operational updates to management.

Essential Skills, Qualifications, and Experience:

  • Associate or bachelor’s degree in a relevant field preferred.
  • Minimum 5 years of experience in warehouse operations, including shipping, receiving, warehouse management, and material handling equipment operation.
  • Proficient in MS Office Suite (Word, Excel, Outlook), ERP systems, and logistics/inventory management software.
  • Strong problem-solving, analytical, and multi-tasking skills with attention to detail.
  • Demonstrated ability to manage multiple responsibilities, deliver results on time, and implement continuous improvement projects.
  • Excellent communication skills and resilience under pressure.

Beneficial Skills & Experience:

  • Forklift certification and proficiency in operating other material handling equipment.
  • Knowledge of warehouse safety procedures, logistics, and compliance requirements.
  • Experience in continuous improvement methodologies such as Lean or Six Sigma.
  • Experience coordinating with third-party logistics providers and freight carriers.
  • Ability to analyze data, generate reports, and identify operational trends.
  • Previous experience in training or mentoring warehouse staff.

Physical Demands:

WORKING CONDITIONS
