Bow Valley College is seeking a detail-oriented and proactive Scheduling Officerto support the efficient and effective delivery of Health programs.Liaising with the School of Health and Wellness and reporting to the Associate Dean, the Scheduling Officer, in collaboration with the Leadership Team, will plan course offerings each semester andassistin assigning faculty workload asdetermined. This will apply to all sites.


The Academic Scheduling and Faculty Resource Coordinator plays a key role in supporting the effective delivery of Health programs through the coordination of academic scheduling, faculty workload management, resource allocation, employee onboarding, and payroll administration. Reporting to the Health Leadership Team, this position monitors and analyzes enrolment data to determine course section offerings and capacities, develops and submits loading sheets, enters and maintains course information within College systems, and prepares intake and utilization reports to support program planning.


The Coordinator collaborates closely with the Registrar's Office, Program Chairs, Associate Dean, faculty, and other stakeholders to ensure accurate scheduling of theory, lab, clinical, and assessment activities, including offsite and specialized program requirements. Responsibilities include managing room bookings, coordinating course cross-listings, supporting exam and assessment scheduling, submitting D2L shell data, and implementing processes and guidelines that ensure consistency, compliance, and efficient resource utilization.


The role is also responsible for annual faculty workload planning and scheduling, working with the Associate Dean and Program Chairs to assign continuous faculty workloads and monitor staffing requirements. This includes coordinating faculty vacation coverage, arranging replacement staffing for short-term absences, and maintaining an understanding of faculty credentials to ensure appropriate assignment of theory, lab, clinical, and assessment responsibilities. The Coordinator manages casual faculty scheduling, books assessors for lab evaluations, communicates staffing and scheduling information to faculty and leadership, and resolves scheduling conflicts and operational issues in a fair, equitable, and professional manner to minimize disruption to students and staff.


In addition, the Coordinator supports employee onboarding by participating in recruitment activities, orienting new employees to scheduling practices and procedures, arranging required IT access, coordinating course-specific orientations, and providing training on timesheet submission processes. The position reviews timesheets for accuracy prior to payroll submission, communicates payroll-related information to casual employees, and supports the planning of professional development events and clinical orientation activities. The successful candidate demonstrates exceptional organizational, communication, problem-solving, and relationship-building skills, with the ability to manage multiple priorities in a dynamic academic environment while ensuring high levels of service and operational excellence.
