Position Summary
The principal function of this position is to assist the Manager of Business Operations. The primary responsibilities are the purchasing processes, hiring processes, expense report processes, and general administrative tasks at the Utah Shakespeare Festival, in alignment with the mission, vision and values of the organization.
Essential Functions
  • Assist in the hiring process for all seasonal employees. Coordinate compliance with Federal, State, and University hiring laws and policies and ensure I-9 verification, W-4 completion, and general compliance for all employees. Prepare and process new hire paperwork for all seasonal hires. Communicate with SUU Human Resources to verify readiness to work for all seasonal employees prior to their start dates.
  • Procurement card reconciliation management in the P-Card approval queue of the SUU portal. Ensure the correct expense coding for transactions. Oversee the monthly bank statement audit. Provide P-card training for all new p-card holders at USF.
  • Update expense and labor reports prior to scheduled budget check-ins with department supervisors. Make corrections to Banner transactions from the expense reports and meetings.
  • Prepare and complete all travel authorizations and travel expense reports for staff.
  • Organizational Support including but not limited to: Bard Bulletin (employee newsletter), maintaining office supplies, reception area and main phone line coverage. Meeting minutes and additional administrative tasks as requested.
  • Coordinate Words Cubed communications, including but not limited to: submission reader interest and availability inquiries, the distribution of reader expectations, deadlines, and assignments, submission response to playwrights, and Words Cubed Festival logistics to participants. Also, manage the Words Cubed Airtable portal, Google drive, and email account.
  • Assist with administrative tasks related to the Utah Shakespeare Festival Board of Governors, as requested.
  • Other Duties as Assigned.

Education & Experience
Minimum Qualifications
  • 4 Year / Bachelors Degree or equivalent relevant work experience.
  • Extensive experience with and knowledge of personal computers, automated information systems, record keeping, spreadsheets, and word-processing systems.
  • Ability to work with diverse groups and contribute to a climate of inclusion.

Preferred Qualifications
  • Experience with Banner software, Microsoft Office, Airtable, and Google products.
