Job description

We are looking for a customer-focused and organized Customer Service & Repair Coordinator to support customers, retailers, and internal teams throughout the repair and service process.

Position Summary

The Customer Service & Repair Coordinator serves as a primary point of contact for customers requiring service, repairs, replacement parts, or warranty assistance. This role focuses on delivering excellent customer support, coordinating repair schedules, tracking service requests, maintaining accurate records, and ensuring clear communication between customers, retailers, technicians, and internal departments.

The ideal candidate is highly organized, detail-oriented, and able to manage multiple priorities while providing positive and professional customer experience.

Key Responsibilities

  • Serve as a primary contact for customers and retailers regarding repair, service, warranty, and product support inquiries.
  • Coordinate repair scheduling and facilitate communication between customers, technicians, retailers, and internal teams.
  • Monitor repair progress and provide timely updates to customers regarding service status and expected timelines.
  • Create, update, and maintain accurate customer records, service requests, and repair documentation within company systems.
  • Enter and manage data related to repairs, warranty claims, replacement parts, and customer interactions.
  • Assist in processing repair authorizations, service documentation, and warranty-related information.
  • Coordinate shipment logistics for machines, parts, and repair-related materials.
  • Work closely with fulfillment, repairs, production, and customer service teams to ensure timely resolution of customer needs.
  • Follow up with customers after service events to ensure provide repair details when appropriate.
  • Escalate complex issues to technical specialists when additional support is required.
  • Maintain professionalism and empathy when assisting customers experiencing product concerns or delays.
  • Support continuous improvement efforts by identifying trends, recurring issues, and opportunities to enhance the customer experience.
