JOB TITLE: Activities Planner JOB STATUS: Full Time
SALARY GRADE: AFSCME 3 FLSA Exempt: No
PURPOSE OF POSITION: Provide customer service, administrative, and program support for Senior Center operations, including assisting with activities, events, classes, services for seniors, answering phones, greeting visitors, and assisting with registrations and inquiries as required.
ESSENTIAL JOB FUNCTIONS/DUTIES & RESPONSIBILITIES: The duties listed below include, but are not limited to, the various types of work that may be performed by individuals in this classification. Any of the following duties may be performed. All employees are expected to maintain job proficiency by completing relevant position specific training and pursuing available and approved professional development opportunities; maintain work area in a clean and orderly manner; maintain regular job attendance and adherence to working hours; follow all City policies; follow all established safety rules and procedures.

- Assist with planning, organizing, and conducting a variety of activities, special events, exercise classes, informational sessions, discussion groups, and other programs for seniors accessible to a variety of ability levels.
- Track class participation and gather participant feedback regarding programs and activities.
- Interact with seniors and encourage participation in Senior Center activities, classes, and programs. Promote and establish a culture of belonging, caring, compassion, and enthusiasm for the aging in our community.
- Assist with preparing promotional materials for programs and activities.
- Research and suggest new program and event ideas. Meet with supervisor on a regular basis to discuss programming for upcoming classes, events, and workshops.
- Assist the public and outside groups with room rental requests at the Senior Center.
- Purchase supplies for office, events, and activities. Forward receipts to supervisor for coding and payment.
- Perform general office work as directed.
- Maintain positive and cooperative working relationships with community groups, volunteers, participants, and partner organizations.
- Provide effective customer service and communicate professionally with seniors, volunteers, staff, and the public.
- Assist with volunteer communications, meetings, room set-up/clean-up, and activity preparation for classes and events.
- Provide general information regarding Senior Center services, programs, and community resources.
- Promote and sustain positive, cooperative, team-oriented working relationships with supervisor, coworkers, and ancillary contacts.
MANDATORY QUALIFICATIONS: Requirements listed below are representative of the knowledge, skill, and/or ability required.
Education & Experience:
- Equivalent to a high school diploma plus additional specialized training.
- One year or more of administrative and/or senior activities or recreational program experience, or any satisfactory combination of experience and training which demonstrates the knowledge, skills, and abilities to perform the above duties.
Licenses & Certificates:
- CPR/First Aid card within six months of hire.
DESIRABLE QUALIFICATIONS:
- Associate or bachelor’s degree in recreation, gerontology, secretarial sciences, or related field.
- Previous experience working with senior programming.
- Possess and maintain a valid Oregon driver license with acceptable driving record.
KNOWLEDGE, SKILLS, AND ABILITIES:

Knowledge of:
- Planning, coordinating, and facilitating classes, recreation, and activities for seniors.
- Resources and social services available to seniors in our area.
- Word processing, spreadsheets and desktop publishing software, a variety of office procedures and practices, spelling, grammar, business English, and operation of standard office equipment.
- Operate and maintain media and audiovisual equipment.
Skill in:
- Providing outstanding customer satisfaction (internally and externally).
- Implementing work methods and procedures which promote a safe working environment.
- Communicating effectively, both orally and in writing.
- Use of Microsoft Office and applicable specialized software.
Ability to:
- Communicate orally in a clear and concise manner.
- Represent the City positively and effectively in meetings with others.
- Establish and maintain effective working relationships with those contacted in the course of work.
- Negotiate effective solutions to complex problems.
- Ability to handle and prioritize several tasks at one time.

WORKING CONDITIONS: While performing the duties of this job, the employee occasionally works in the outside weather conditions. Usual working conditions would be a typical office environment with telephones, personal interruptions, and background noises.
SUPERVISORY RESPONSIBILITIES: Supervision is not a typical function assigned to this position.
SUPERVISION RECEIVED: Works under the general supervision of the Senior Services and Transit Program Director.
