Staffing & Scheduling Coordinator

Helping Hearts Senior Care is seeking an organized, reliable, and sharp Staffing & Scheduling Coordinator to join our Tuscaloosa office team at $14.00 per hour. In this role, you will be the logistical backbone of our local operations—matching our incredible in-home caregivers with the seniors and families who need them most.

What You Will Do:

  • Manage and optimize daily scheduling grids for our care staff using our scheduling software.
  • Act as the primary point of contact for caregiver schedule changes, client adjustments, and shift call-outs.
  • Problem-solve scheduling gaps quickly and efficiently to ensure seamless coverage for our seniors.
  • Maintain clear, empathetic, and professional communication with caregivers and client families via phone and text.
  • Assist the office team with basic administrative tasks, compliance tracking, and data entry.

  • Excellent Communication: Strong phone skills with the ability to speak clearly, professionally, and confidently.
  • Tech-Savvy: Comfortable navigating multi-screen scheduling databases, spreadsheets, and messaging platforms.
  • Problem-Solving Skills: The ability to stay calm under pressure when schedules shift and find quick solutions.
  • Dependability: High accountability—you are the team member who shows up on time and handles details with care.
  • Prior experience in medical scheduling, dispatching, high-volume customer service, or hospitality management is a major plus!
