Events Coordinator, Smartwool & icebreaker

What will you do?

A day in the life of the Events Coordinator at icebreaker and Smartwool looks a little like this.

The Events Coordinator supports the Americas Commercial team and plays a critical role in planning and executing events that connect our sales teams, retail partners and brand stakeholders.This role will focus on supporting the planning and execution of sales meetings, trade shows and retailer events. Working closely with Sales, Marketing, Merchandising and external agency partners you will ensure events are delivered flawlessly, on budget, and aligned with brand objectives. This position reports to the Senior Coordinator, Strategic Partnerships & Events.

Let's break down that day-in-the-life a bit more.

Sales Meeting

  • Support the planning and execution of seasonal sales meeting from venue selection through to event completion

  • Coordinate hotel contracts, rooming lists, catering, transportation, audiovisual requirements and meeting logistics

  • Manage event timelines, checklists and project plans to ensure all milestones are completed on schedule

  • Support agenda development and coordinate meeting materials, presentations, product displays and attendee communications

  • Be present onsite during event set-up, execution and teardown to manage daily logistics and troubleshoot issues

Tradeshows & Brand Events

  • Coordinate all tradeshow logistics including registration, booth services, shipping, inventory and vendor management

  • Partner with Marketing, Sales and Merchandising to ensure booths and brand experiences are executed to a high standard

  • Manage exhibitor deadlines, service orders and event budgets

  • Coordinate travel and accommodations for attending team members

  • Provide onsite support including booth operations, scheduling and retailer hospitality

  • Support planning and facilitation of key brand and marketing events as required

Vendor and Budget Management

  • Build and manage relationships with hotels, event venues, production companies, transportation providers and other vendors

  • Track event budgets, invoices and purchase orders to ensure spending is accurate and within approved limits

  • Identify opportunities to improve efficiency and reduce event costs while maintaining exceptional experiences

Operations and Communication

  • Serve as a central point of coordination across cross-functional teams involved in event execution both internal and external

  • Create and maintain detailed project timelines, attendee lists, and event status updates

  • Capture learnings and recommendations following events to continuously improve future programs

What do you need to succeed?

Additionally, while formal education in a related field is great to have, we are most interested in your +2 years of experience and professional achievements.

The foundation skills you will need in this position are:

  • Demonstrated experience planning and executing meetings, conferences, trade shows, or customer events

  • Exceptional organizational skills with the ability to manage multiple projects simultaneously

  • Strong attention to detail and commitment to delivering a high-quality experience

  • Excellent communication and relationship-building skills

  • Ability to work effectively across cross-functional teams and external partners

  • Proficiency with Microsoft Office Suite, including Excel, PowerPoint, Teams, and Outlook

  • Ability to travel regularly throughout the year, including weekends and evenings as required by event schedules

  • Ability to lift and move event materials and assist with event setup and teardown activities

There are also a few skills that are not required but preferred:

  • Experience working with outdoor, apparel, or lifestyle brands

  • Experience managing event budgets and vendor contracts

$56,160.00 USD - $70,200.00 USD annually

Incentive Potential: This position is eligible for additional compensation awards that may include an annual incentive plan, sales incentive, orcommissionpotential.
