Security Coordinator

Position Overview

Montage Big Sky is seeking an organized, detail-oriented, and service-driven Security Coordinator to support the daily administrative operations of our Security Department. This role serves as the primary administrative partner for the Security team, ensuring seamless coordination of departmental processes, documentation, reporting, scheduling, training records, communication, and special projects.

The ideal candidate is highly organized, proactive, and professional, with the ability to manage multiple priorities while maintaining confidentiality and supporting a world-class luxury hospitality environment. This position will play a vital role in helping the Security team operate efficiently while supporting a safe and secure experience for associates, guests, residents, and visitors.

Essential Functions

Administrative Support

  • Provide comprehensive administrative support to the Director of Security and Security Leadership Team.
  • Manage department correspondence, emails, phone calls, and internal communications.
  • Prepare, edit, and maintain reports, presentations, meeting agendas, and departmental documents.
  • Coordinate and schedule meetings, interviews, training sessions, and department events.
  • Maintain organized electronic and physical filing systems for security records and documentation.
  • Assist with onboarding paperwork and administrative processes for new security associates.

Department Coordination

  • Support scheduling administration, including shift roster updates, timekeeping review, and coordination of schedule changes.
  • Track and maintain security certifications, licenses, training records, and compliance documentation.
  • Coordinate uniform orders, department supplies, equipment inventories, and vendor requests.
  • Process departmental purchase requests, invoices, expense reports, and budget tracking documentation.
  • Assist with maintaining department policies, procedures, and standard operating guidelines.

Reporting & Record Management

  • Maintain confidential incident reports, workplace investigations, and security documentation.
  • Compile and distribute daily, weekly, and monthly department reports.
  • Track key department metrics and assist leadership with data collection and reporting.
  • Ensure records are accurate, complete, and maintained in accordance with company standards.

Team & Property Support

  • Serve as a central point of contact for administrative requests related to the Security Department.
  • Coordinate logistics for training programs, emergency preparedness exercises, and department meetings.
  • Partner with Human Resources, Facilities, Engineering, Residential Services, and other departments to support security initiatives.
  • Assist with special projects and additional administrative duties as assigned.

Qualifications

Required

  • High school diploma or equivalent.
  • Minimum of 2 years of administrative, office coordination, executive assistant, or similar experience.
  • Strong organizational, multitasking, and time-management skills.
  • Proficient in Microsoft Office Suite, including Outlook, Excel, Word, and PowerPoint.
  • Excellent written and verbal communication skills.
  • Ability to handle confidential and sensitive information with professionalism and discretion.
  • Strong attention to detail and commitment to accuracy.
  • Ability to work independently while supporting a collaborative team environment.

Preferred

  • Administrative experience within an environment with high regard to confidentiality
  • Experience with scheduling, timekeeping, reporting systems, or workforce management software.
  • Previous experience supporting department leaders or management teams
