Executive Assistant To The Executive Director

Jefferson RISE Charter School is seeking a highly effective Executive Assistant to the Executive Director who is committed to helping the organization operate at a high level. This role serves as the primary administrative support to the Executive Director and plays a critical role in ensuring priorities, projects, communications, and commitments are organized, monitored, and executed effectively.

This position goes beyond traditional administrative support. The Executive Assistant manages information, tracks execution across the organization, and builds systems that improve efficiency, accountability, and communication. Successful candidates are highly organized, technically skilled, and able to ensure that important work does not fall through the cracks.

Key responsibilities include:

  • Manage the Executive Director's calendar, scheduling, and meeting logistics
  • Monitor incoming communications and draft routine correspondence
  • Prepare agendas, reports, presentations, and supporting materials
  • Attend meetings and maintain accurate notes, action items, and follow-up documentation
  • Coordinate executive, leadership, and board meetings
  • Serve as a primary point of contact for routine communications
  • Maintain systems that track priorities, deadlines, and commitments
  • Monitor completion of deliverables across the organization
  • Conduct audits and quality-control reviews of reports, forms, and processes
  • Identify missing information, overdue tasks, and execution gaps
  • Verify completion and accuracy of action items
  • Maintain dashboards and trackers that provide visibility into performance
  • Build and manage complex Google Sheets, dashboards, and tracking systems
  • Analyze information and present findings in a clear, actionable format
  • Leverage AI tools to improve communication, reporting, and efficiency
  • Create and maintain automated workflows (Google Apps Script, integrations, etc.)
  • Identify opportunities to reduce manual work and improve systems
  • Maintain confidential personnel records
  • Support investigations through documentation and information gathering
  • Draft personnel-related documents for review
  • Coordinate employee meetings and maintain records
  • Handle confidential information with discretion and sound judgment
  • Coordinate Executive Team and Board meeting logistics
  • Prepare materials and supporting documentation
  • Maintain records of leadership actions
  • Support special projects and strategic initiatives

Candidate profile:

  • Bachelor's degree preferred
  • Three years of experience in executive support, operations, or a related field preferred
  • Advanced proficiency with Google Workspace, particularly Google Sheets (formulas, pivot tables, dashboards)
  • Demonstrated ability to use AI tools to improve productivity and workflows
  • Experience with automation tools (Apps Script, Zapier, etc.) preferred
  • Strong written and verbal communication skills
  • Exceptional organizational and time-management skills
  • Ability to manage multiple priorities with a high level of accuracy
  • Ability to maintain confidentiality and exercise sound judgment

Compensation:

  • Annual Salary Range: $50,000 – $65,000 depending on qualifications, skills, and experience
  • Additional Stipends Available: Employees may be eligible for supplemental compensation for approved responsibilities beyond their role
  • Raises and Bonuses: Performance-based raises and bonuses may be awarded based on results, contributions, and organizational priorities
  • Paid twice monthly on the 15th and last day of each month

  • Medical: RISE covers 85% of employee-only premiums; employee covers 15% (spouse and dependent costs are the employee's responsibility)

  • 401(k): 100% employer match on first 3% deferred; 50% match on contributions from 3% to 5%; no vesting period
