Job Description

The Development and Office Assistant supports the work of the Membership and Development staff. This position has primary responsibility for:

  • Assist with daily processing of all pledges and gifts including deposits, preparation of routine gift/donor reports, gift acknowledgements and other member communications;

  • First point of contact for general membership inquiries; either helping directly or transferring to proper person in department

  • Manage the recapture, reacquisition, and maintenance of sustaining members.

  • Assist regular data cleanup including merging duplicate accounts, adding and removing email addresses into database and email client, and other similar processes;

  • fulfillment of membership premiums;

  • all additional responsibilities related to processing matching gifts, donor advised fund gifts, and car donations;

  • Assist recruitment and management of volunteers;

  • Front desk, answering calls, and welcoming guests, and general assistance

  • special ongoing development or marketing projects or activities.

  • Assist Business Manager with various tasks

  • Other duties as assigned

The position has shared responsibility for:

  • off- and on-air membership drive communications;

  • Membership and station-sponsored events;

  • Executive Council support;

  • grants tracking;

  • underwriting support;

  • donor communications and fundraising materials.

The Development and Office Assistant is part of Membership and Development staff and reports to the Membership Manager and Director of Development and Marketing.

RESPONSIBILITIES

  • Becomes proficient in use of the Allegiance donor/gift database for recording donor information, gift information, and routine reports.

  • Maintains donor and gift information accurately and resolves problems with donor records. Processes all individual, foundation, and corporate donations, including one-time gifts or periodic payments by credit cards, and deposits donations into UNO or UNO Foundation accounts as directed.

  • Maintains necessary records in coordination with UNO Financial Services and UNO Foundation to fulfill audit and legal requirements.

  • Records and updates donor information on a regular basis or as needed.

  • Produces, or oversees production of, routine donor acknowledgements and other communications, including annual tax receipts, providing for appropriate personalization of communications regarding major, corporate, foundation, matching, and other gifts.

  • Fulfills, or oversees fulfillment, of membership premiums.

  • Processes corporate matching gifts, coordinating as needed with members and their matching gift employers, and with UNO and UNO Foundation.

  • Produces reports and mailings for monthly membership renewal mailings and other development purposes.

  • Manages WWNO's volunteer program. Maintain WWNO's volunteer page online. Schedule volunteers as needed for special events/assignments. Maintain Volunteer database.

  • Organizes and maintains electronic and paper records for donors, gifts, and projects.

  • General assistance and special projects as directed.

  • Work in a cooperative and collaborative manner with staff and station contributors.

  • Communicate with donors, listeners and coworkers in a positive and effective manner.

  • Demonstrate respect for others in all work related relationships and interactions.

  • Adhere to high ethical standards for work conduct, donor relations, donor confidentiality, records management, etc. as presented by the Association of Fundraising Professionals.

  • Adhere to ethical standards required by the University of New Orleans. Maintain strict confidentiality and protect data security for all member transactions in compliance with Purchasing Card Industry standards.

Shared responsibility: Assist the Development and Membership Managers with the following responsibilities:

  • On-air membership drives, especially recruitment, scheduling, and management of volunteers. Execution of membership and other mailings.

  • Planning and presentation of events, including on-site ticketing, welcoming and interaction with guests.

  • Communications and problem-solving with donors.

  • Preparation of scripts and flights for membership and development on-air announcements or underwriting announcements as directed.

  • Writing and production of donor communications and fundraising materials.

  • Use and management of the Allegiance database.

  • Back-up the duties of the Membership Manager and Director of Development and Marketing during absences.

REQUIRED QUALIFICATIONS

  • Bachelor's degree or equivalent combination of education and experience.

  • At least two years or more of administrative experience, including office, data entry, customer service or related.

  • Detail orientation and dedication to error-free work product.

  • Database experience and facility with complex software programs

  • Must have a strong customer/client service orientation

  • Flexibility to work weekends, nights, extended hours at various times of the year.

  • Demonstrated ability to effectively engage diverse perspectives and experiences in work product and in organizational interactions.

  • Ability to resolve conflict successfully.

  • Thorough attention to detail.

  • Excellent written and oral command of English language.

DESIRED QUALIFICATIONS
