Customer Service & Production Coordinator

Position Summary

The Customer Service & Production Coordinator serves as the critical link between our Sales, Art, Production, and Customer Service teams. This role ensures that every order moves efficiently from estimate approval through production and final delivery.

The ideal candidate is highly organized, communicates effectively, enjoys solving problems, and thrives in a fast-paced manufacturing environment where attention to detail is essential.

Key Responsibilities

  • Serve as the primary communication liaison between customers, Sales, Art, and Production.
  • Convert approved estimates into production-ready jobs and accurately schedule work.
  • Coordinate project timelines to ensure customer expectations and production capacity remain aligned.
  • Keep customers and Sales Representatives informed of order status, milestones, and completion dates.
  • Enter and maintain accurate order information, including customer notes, payment status, shipping instructions, artwork approvals, and special production requirements.
  • Manage the artwork and customer approval process to keep projects moving forward.
  • Monitor jobs throughout production and proactively address issues before they impact delivery schedules.
  • Communicate production delays or potential challenges to Sales and management immediately.
  • Conduct press checks when required to verify quality and customer expectations.
  • Participate in daily production meetings by providing job updates, identifying scheduling concerns, and helping prioritize workflow.
  • Maintain a high level of accuracy while managing multiple projects simultaneously.
  • Provide exceptional customer service by responding promptly, professionally, and courteously to customer inquiries.

Qualifications

  • Excellent verbal and written communication skills.
  • Strong organizational and time-management abilities.

Compensation & Benefits

  • Pay: $15.00–$17.00 per hour, based on experience.
  • Monthly performance bonus opportunities.
