Sample Coordinator
The Sample Coordinator is responsible for managing the flow of product samples across cross-functional teams to ensure clear visibility and efficient coordination from design development through production, merchandising, and marketing needs.
This role plays a critical part in maintaining sample organization and ensuring that all teams have timely access to the samples needed for product development reviews, merchandising meetings, photoshoots, marketing initiatives, and other key business functions.
The Sample Coordinator works closely with Design, Production, Merchandising, Marketing, and E-commerce teams to track, organize, and distribute samples while maintaining clear communication on sample status and availability.
Position Overview:
Key Responsibilities
Sample Tracking & Organization
  • Manage the intake, organization, and tracking of product samples throughout the development lifecycle.
  • Maintain accurate records of sample status, location, and availability.
  • Ensure samples are properly labeled, organized, and accessible to relevant teams.

Cross-Functional Coordination
  • Coordinate sample needs across Design, Production, Merchandising, Marketing, and E-commerce teams.
  • Ensure sample availability for key meetings, product reviews, photoshoots, and marketing initiatives.
  • Communicate sample timelines and status updates to cross-functional partners.

Sample Flow Management
  • Track sample progress from design development through production and final merchandising needs.
  • Coordinate the movement of samples between teams to support product development and marketing timelines.
  • Ensure samples are returned, archived, or stored appropriately after use.

Sample Calendar & Photoshoot Readiness
  • Maintain a sample calendar to support product development milestones, marketing shoots, and merchandising reviews.
  • Coordinate with Marketing and E-commerce teams to ensure samples required for photoshoots, campaigns, and digital product launches are prepared and available on schedule.
  • Ensure samples are photo-ready, properly styled, and organized prior to scheduled shoots.

Process Support
  • Assist in maintaining efficient sample management processes and workflows.
  • Identify opportunities to improve sample tracking, organization, and communication across teams.

Qualifications
  • 2-4 years of experience in fashion, product development, merchandising support, or sample coordination
  • Strong organizational and project coordination skills
  • Excellent communication and cross-functional collaboration abilities
  • Strong attention to detail and ability to manage multiple priorities
  • Proficiency in Excel and sample tracking tools

Pay is based on multiple factors, such as qualifications/skills/experience, geography, and state and local wage laws. In addition, bonuses and benefits including healthcare, retirement savings, paid time off/vacation, and product discounts may be offered.
Position starts at $21/hour
