Job Title: Sample Processing Coordinator

Position Summary
We are seeking a highly organized, detail-oriented, and service-minded Sample Processing Coordinator to support our sales and customer service operations. This role is responsible for receiving, processing, fulfilling, and communicating sample requests accurately and professionally.

This is a hands-on role that combines office coordination with physical sample fulfillment. The person in this position will process sample requests, pick and pack samples from the sample room, create shipping labels, follow customer-specific labeling instructions, send tracking details, and help maintain the sample room so sample inventory is organized and readily available.

The right candidate will be dependable, proactive, detail-oriented, and able to balance customer communication with accurate physical execution.

Key Responsibilities

  • Review incoming sample requests and determine what information is needed to process them correctly
  • Enter and process sample orders accurately in the system
  • Physically pick and pack sample orders from the sample room
  • Confirm the correct sample items, quantities, and request details before shipment
  • Create shipping labels accurately and ensure all shipment details are correct
  • Follow customer-specific labeling instructions and any special sample handling requirements
  • Communicate with customers regarding sample status, shipment details, and tracking information
  • Follow up on incomplete, unclear, delayed, or unavailable sample requests
  • Coordinate internally with sales, customer service, warehouse, and shipping support as needed
  • Maintain organization, cleanliness, and order within the sample room
