Job description

Principal Executive Assistant

We are seeking a highly experienced and professional Principal Executive Assistant to provide dedicated support to the Executive Vice President & Chief Medical Officer and the Executive Vice President, Chief Strategy and Digital Officer.

This role serves as a trusted partner to executive leadership and requires exceptional judgment, discretion, executive presence, and attention to detail. The successful candidate will thrive in a fast-paced, highly visible environment, managing complex priorities while ensuring seamless operations for senior leaders. This position requires a proactive, solutions-oriented individual who anticipates needs, exercises sound judgment, maintains strict confidentiality, and consistently delivers high-quality work with accuracy and professionalism.

The Principal Executive Assistant serves as a key liaison between executive leadership and internal and external stakeholders, ensuring priorities are managed effectively and communications are handled with professionalism and discretion. This role combines advanced executive administrative support with opportunities to coordinate projects, facilitate executive communications, and contribute to strategic initiatives.

Key Responsibilities:

  • Executive Support: Manage complex calendars, resolve scheduling conflicts, and prioritize executive time effectively.
  • Meeting Management: Prepare agendas, capture accurate meeting minutes, and ensure timely follow-ups.
  • Presentation and Reporting: Create professional PowerPoint presentations and support the development of executive-level materials such as board materials, etc.
  • Project Coordination: Lead small-scale projects, ensuring timely and effective execution.
  • Proactive Problem-Solving: Anticipate needs, identify challenges, and offer solutions before issues arise.
  • Collaboration: Work seamlessly with other Executive Assistants and teams to ensure alignment and organizational efficiency.
  • Relationship Management: Foster strong internal and external relationships, serving as a professional and diplomatic liaison.
  • Administrative Excellence: Oversee travel arrangements, expense reports, and other administrative duties with precision and confidentiality.
  • Event Coordination: Organizes programs, events, meetings or conferences by arranging facilities and caterers, issuing information or invitations, coordinating speakers and controlling event budget.
  • Communication Support: Composes, edits and prepares confidential correspondence, reports and other complex documents.

  • Technical Proficiency: Leverage advanced skills in Microsoft Office Suite (PowerPoint, Word, Excel) and tools like Teams or project management platforms.
  • Attention to Detail: Ensure accuracy and thoroughness in every task, from communications to project coordination.
  • Collaboration and Influence: Build strong relationships across teams, working effectively with other EAs and internal stakeholders to ensure seamless operations.
  • Leadership Support: Develop a deep understanding of the executives' priorities and leadership styles to align support effectively.
  • Confidentiality and Professionalism: Manage sensitive information with the utmost discretion and integrity.

Required Qualifications:

  • 5 years administrative assistant experience supporting senior leaders (Director and above)

Preferred Qualifications:

  • Bachelors Degree
  • 3 years providing administrative support to senior level executive (SVP & C-Suite)

    The posted pay range is for a 40-hour workweek (1.0 FTE). The actual rate of pay offered within this range may depend on several factors, such as FTE, skills, knowledge, relevant education, experience, and market conditions. Additionally, our organization values pay equity and considers the internal equity of our team when making any offer. Hiring at the maximum of the range is not typical.
