Job description

Ultimate Renovations is looking for a personable, organized, and motivated Sales & Client Experience Coordinator to join our team.


This is a client-facing sales support role with responsibility for the overall front-office experience. You will often be one of the first people a prospective or existing client interacts with at Ultimate Renovations, whether they are beginning their renovation journey, arriving for a design appointment, or visiting our office for a project meeting.

The role combines sales support, lead management, client hospitality, administrative coordination, and general team support. If you have experience in a new-home sales centre, showhome, real estate office, design centre, hospitality environment, or another relationship-focused role, this could be a great fit.


Unlike many showhome sales positions, this role offers a regular Monday to Friday, 9:00 a.m. to 5:00 p.m. schedule.


With more than 45 years of experience delivering award-winning residential renovations in Calgary, Ultimate Renovations has built its reputation on professionalism, creativity, and an exceptional client experience.


What You'll Do


Sales & Lead Support

  • Respond to and monitor incoming sales inquiries by phone, email, website, and other lead sources
  • Engage with prospective clients to learn more about their renovation goals, timelines, priorities, and projects
  • Help guide prospective clients through the initial stages of Ultimate Renovations' sales process
  • Coordinate consultations and appointments for the sales team
  • Work closely with the sales team to follow up with and support active leads and opportunities
  • Maintain accurate lead, client, and activity information in our CRM
  • Ensure lead activities and follow-ups are properly tracked, updated, and completed
  • Maintain an organized prospect database
  • Prepare presentation folders, client information, sales documents, and other materials ahead of client meetings
  • Track outstanding sales activities and follow-ups to help ensure no opportunities fall through the cracks
  • Support the sales team in maintaining consistent CRM habits and workflows
  • Assist leadership with sales pipeline and forecasting information


Client Experience & Office Support

  • Welcome clients and guests arriving for sales, design, and project meetings
  • Create a warm, professional, and polished first impression
  • Ensure clients feel comfortable and looked after while visiting our office
  • Offer and prepare coffee, water, and other refreshments for guests
  • Assist with meeting room preparation before client appointments
  • Maintain a clean, organized, and professional client-facing office environment
  • Receive and distribute incoming mail, courier packages, and deliveries
  • Coordinate weekly team lunches
  • Order office, hospitality, and general supplies as needed
  • Assist with ordering business cards and other office materials
  • Answer and direct incoming calls when required
  • Assist with general office hospitality and administrative needs as they arise


Project & Administrative Support

  • Provide administrative support as projects move through sales, design, and production
  • Help communicate internal project status updates to the appropriate team members
  • Prepare and maintain project binders and supporting documentation
  • Upload and organize project information within Buildertrend and other internal systems
  • Help keep internal project tracking tools and maps up to date
  • Assist with key and AirTag organization and tracking
  • Share project photos and information internally as needed
  • Support leadership and other departments with general administrative tasks


Marketing & Team Support

  • Provide general administrative support to the marketing team
  • Assist with basic website and online profile updates
  • Help coordinate project photos and other marketing materials
  • Assist with company events, client events, and internal team activities
  • Support other marketing initiatives as needed


What We're Looking For

  • Previous experience in sales, new-home sales, real estate, customer service, hospitality, office administration, or a similar client-facing environment
  • A confident, friendly, and professional communication style
  • Someone who genuinely enjoys meeting people and building relationships
  • Strong organization and attention to detail
  • The ability to manage multiple clients, leads, appointments, and priorities at the same time
  • Comfortable following up with prospective clients by phone and email
  • Experience using a CRM or customer database is an asset
  • Comfortable working with Microsoft Office, including Excel, and learning CRM and project management software
  • Comfortable learning new systems, templates, and processes
  • Ability to work independently while also being a strong part of a team
  • An interest in residential renovations, construction, design, or real estate is an asset


Previous renovation or construction experience is not required. We are more interested in finding someone who is professional, personable, organized, detail-oriented, and eager to learn our business.
