Job description

Position: Office Manager

Compensation: Range $75 $80k/year, based on experience

Hours: Full-time, in person position. Monday-Friday 7:00 5:00, with a one- hour lunch break.

Benefits: Competitive Pay, Medical Insurance (company pays 65%-75% of Employee Premium), 401k with company match, (7) paid holidays, Sick Time, Vacation Time & Bonus Plan. In addition to earned vacation, employees are provided with paid time off from Christmas through New Years Day.

Integrity First Electric is a Jacksonville based Electrical Subcontractor. Founded in 2010, we are a small business that continues to expand its customer base in both the residential and commercial sectors. Our core mission is to continue to foster and strengthen our existing relationships, while also building new customer bases with local businesses that share our values and focus on quality work, safe worksites, and strong community ties.

The Office Manager applicant should have the following qualifications

  • High school diploma (associate or bachelors degree preferred)
  • 3-5 Years of management experience
  • Strong accounting background preferred
  • Construction background preferred, but not required
  • Proficient with Google Business and/or Microsoft Products
  • Strong organization and follow-through
  • Clear written and verbal communication
  • Anticipate needs and take initiative for action
  • Attention to detail and consistency
  • High degree of confidentiality
  • Foundation Accounting Software background preferred, but not required

Core Responsibilities

Office Operations

  • Manage day-to-day office functions and organization
  • Maintain digital and physical filing systems
  • Coordinate office vendors, supplies, and services
  • Oversee phones, mail, and general office communication with the support of the Administrative Assistant
  • Keep the office running in a consistent, organized way
  • Oversee A/R & A/P, working closely with the Administrative Assistant
  • Coordinate company functions (Spring & Holiday party)
  • Attend company meetings (office/sales/operations)

HR Administration

  • Coordinate onboarding for new hires, paperwork, access, setup
  • Maintain employee files and basic HR records
  • Track PTO requests and maintain records
  • Coordinate benefits and enrollment support
  • Support offboarding, documentation, and access removal
  • Help maintain org charts, role descriptions, and internal records

Financial

  • Familiarity with accounting software practices
  • Responsible for the oversight of financials, with understanding of accounting principles
  • Responsible for monthly reconciliations of cash accounts.
  • Responsible for Filing of State & Federal Quarterly Payroll Taxes
  • Responsible for 401k internal management
  • Coordinate with CPA for tax filings

Insurance

  • Annual Insurance Reviews including:
  • G/L, Auto & W/C
  • W/C Audit

Compliance and Documentation

  • Track professional licenses, renewals, and required postings
  • Maintain vendor files including W9s, insurance, and compliance docs
  • Manage COI requests and insurance tracking

Systems and Process Coordination

  • Management of office systems and software (coordinating with IT support)
  • Set up users and coordinate access for new hires
  • Help improve administrative workflows

Safety Programs & Education

  • Work closely with the Owner on Safety Programs
  • Tracking Safety Training/OSHA 300 Requirements

Salary/Compensation: $75,000 - $80,000 per year
