Job description

Weโ€™re looking for a Service Coordinator who is ready to take ownership of the service departmentโ€™s customer experience from start to finish. This is not a position where youโ€™ll simply be one of several service writers or team members handling a portion of the workload. You will be the primary point of contact for our small dealership's service customers, responsible for managing communication, estimates, repair orders, scheduling, follow-up, and making sure each customerโ€™s experience stays on track.


Weโ€™re looking for someone who is organized, proactive, responsive, and comfortable taking responsibility for their work. You should be the kind of person who recognizes what needs to be done and handles itโ€”not someone who waits to be told what to do. You will have the opportunity to make this position your own and have a direct impact on how our service department operates and how our customers are taken care of.


Essential Duties and Responsibilities include, but are not limited to, the following:

  • Own the service process from start to finish, from the customer's initial request through completed repairs and final delivery.
  • Serve as the primary point of contact for service customers.
  • Schedule and prioritize incoming work based on technician availability, parts, customer needs, and department priorities.
  • Coordinate the daily workflow of the service technicians, keeping work moving and making sure technicians have the information and resources they need.
  • Write clear, detailed repair orders and technician notes that accurately communicate the customer's concerns and exactly what needs to be diagnosed or repaired.
  • Review technician findings and translate technical information into clear recommendations for customers.
  • Prepare accurate estimates and obtain customer authorization for additional work.
  • Identify maintenance, repair, and upgrade opportunities that genuinely benefit the customer - upselling is part of the job.
  • Keep customers informed throughout the repair process regarding progress, delays, parts, additional repairs, and completion dates.
  • Monitor open repair orders and actively follow up to prevent jobs from sitting unnecessarily.
  • Review completed work to ensure customer concerns have been addressed and the repair order is properly documented.
  • Ensure repair orders are accurate, complete, and billed correctly.
  • Coordinate final inspections, invoicing, payment, and customer pickup.
  • Handle warranty and service contract documentation and communication when applicable.
  • Maintain accurate notes, records, schedules, and customer information in the dealership's service management system.
  • Communicate with management regarding workload, technician capacity, difficult repairs, delays, and other issues affecting the department.
  • Identify problems in the service process and take the initiative to fix them.
  • Help maintain an efficient, productive, and profitable service department.
  • Build long-term customer relationships that encourage customers to return to B&B RV for future service.
  • Take ownership of the details and follow throughโ€”don't wait for someone else to notice what needs to be done.


Required Qualifications Include:

  • Previous experience as a Service Writer, Service Advisor, Customer Service Representative in a service shop environment or similar experience required.


Preferred Qualifications Include:

  • Strong customer service skills and the ability to build genuine relationships with customers.
  • Highly organized and able to keep track of multiple customers, repairs, deadlines, and details at once.
  • Proactive by natureโ€”you see what needs to happen and take care of it rather than waiting to be asked.
  • Strong follow-through and a commitment to keeping customers informed throughout the repair process.
  • Excellent communication skills, both written and verbal.
  • Comfortable taking ownership of your work and being accountable for the customer experience.
  • Detail-oriented, particularly when it comes to estimates, repair orders, parts, technician notes, and billing.
  • Confident making decisions and solving problems when issues come up.
  • Able to work independently while communicating effectively with the rest of the service and dealership team.
  • Comfortable learning new systems and software and using them accurately.

Compensation:

$60,000โ€“$120,000+ annually, with a strong base salary and a service department performance-based incentive.
