Job description

Job Summary


The Sr Execution Coordinator is responsible for managing logistics operations and supporting commercial activities related to the peas/protein plant and lentil programs. This role collaborates closely with the Assistant Manager - Containers, Traders, Accounting, and Operations teams to ensure the efficient execution of shipments, optimization of transportation planning, and the accuracy of contract and financial documentation.



Essential Duties and Responsibilities

Logistics Department:

  • Lead logistics planning for the peas, protein plant, lentils, and other commodities as assigned.
  • Develop and implement goals and key performance indicators (KPIs) for the logistics department.
  • Monitor inbound loads and bin inventories at elevators.
  • Coordinate with plant managers and operations to optimize blending and cleaning strategies for maximum value extraction.


Freight & Shipment Coordination:

  • Analyze rail and ocean freight trends and costs in coordination with the Logistics Manager and Traders.
  • Secure ocean bookings and track authorizations (TA's) for rail shipments.
  • Plan shipments with buyers, trans loaders, freight forwarders, steamship lines (SSLs), counterparties, and country facilities to meet contract specifications, shipping timelines, and minimize contamination risks.
  • Ensure accurate transloading and shipping instructions are communicated to operations managers.
  • Daily tracing of rail shipments


Commercial Contract Management:

  • Create and maintain commercial sales and purchase contracts, ensuring accurate backoff and regular updates.
  • Review contract tolerances in coordination with the logistics manager.
  • Track storage cargo at transloading facilities.
  • Review quality claims, provide recommendations, and support resolution processes.



Documentation & Financial Oversight:

  • Clean up and archive completed contracts, comparing budgeted vs. actual costs with Traders and communicate P&L expectations to accounting.
  • Liaise with Accounting during month-end to ensure accurate financial reporting.
  • Provide documentation and invoicing for domestic railcars; follow up with customers for unloading confirmations, outstanding payments, and interest charges.


Other:

  • Handle on-demand requests
  • Interact with external organizations such as trans-loaders, CFIA, USDA, SGS, Cotecna, etc.


Teamwork

  • Participate in cross-training to strengthen teams, create more opportunities for advancement within the department and create redundancies for periods of employee leaves and turnover.
  • Identify opportunities for process improvement.


Specific Knowledge, Skills and Abilities

  • Post-secondary education from a recognized institution in logistics, supply chain management, or related discipline, or an acceptable combination of education and experience.
  • Proven ability to build strong customer relations.
  • Effective written and verbal communication skills in English.
  • Advanced Microsoft Office skills including extensive experience using Excel.
  • Experience using customer relationship management (CRM) software and/or prior experience using SalesForce is an asset.
  • Strong time management and organizational skills including the ability manage conflicting priorities.
  • High level of attention to detail.
  • Proven ability to foster effective interpersonal relationships within a geographically and culturally diverse work setting.
  • Ability to use initiative to identify problems and deliver solutions.
  • Ability to handle confidential materials.


Special Conditions of Employment

  • Office environment, long periods of sitting and using a computer and viewing computer screen.
  • Some overtime may be required during evenings and weekends.
  • Tight deadlines, high-volume workload.
