The ideal candidate thrives in a fast-paced environment, enjoys solving complex problems, and can effectively coordinate across multiple departments to ensure exceptional customer service and operational excellence. If you enjoy working with large retail customers, analyzing data, resolving issues, and driving processes forward, we'd love to hear from you.
What You'll Do
Manage Major Retail Accounts
  • Serve as the day-to-day operational owner for assigned national retail accounts.
  • Manage customer requests, order activity, inventory concerns, billing issues, compliance matters, and account inquiries.
  • Act as a key point of coordination between Sales, Finance, Logistics, Warehouse, Customer Service, and external customer contacts.
  • Build strong working relationships while ensuring customer expectations and requirements are consistently met.

Order Lifecycle & Fulfillment Management
  • Monitor orders from receipt through shipment, invoicing, and payment.
  • Identify and resolve order holds, backorders, substitutions, shipping delays, invoice discrepancies, and fulfillment issues.
  • Process and monitor EDI and manual orders while ensuring alignment with customer purchase orders and internal requirements.
  • Coordinate shipment tracking, routing compliance, and transportation-related issues.

Retailer Compliance, EDI & Portal Administration
  • Support retailer-specific compliance requirements, routing guides, vendor manuals, and ASN requirements.
  • Monitor and troubleshoot EDI transactions, including 850, 855, 856, and 810 documents.
  • Manage retailer portals and supplier systems, including those used by Home Depot, Lowe's, and other major accounts.
  • Respond to compliance notifications, deductions, and operational exceptions.

Financial & Account Support
  • Perform billing validation and accounts receivable reconciliation.
  • Investigate customer deductions, chargebacks, remittance discrepancies, and short payments.
  • Gather supporting documentation and coordinate resolution efforts.
  • Review customer contracts, pricing agreements, discounts, and historical account activity to support informed decision-making.

Continuous Improvement & Cross-Functional Support
  • Research and respond to leadership requests with thoughtful analysis and recommendations.
  • Develop and maintain account trackers, SOPs, and process documentation.
  • Support onboarding of new products, customers, account structures, and pricing programs.
  • Identify opportunities to improve processes, controls, and operational efficiency.

Qualifications
Required
  • 3+ years of experience in account operations, customer service, order management, supply chain, logistics, or retail distribution within a B2B environment.
  • Experience managing complex or high-volume customer accounts.
  • Working knowledge of ERP systems, EDI processes, and order management workflows.
  • Strong Microsoft Excel skills and the ability to analyze and reconcile large volumes of data.
  • Ability to interpret customer agreements, pricing structures, routing guides, and compliance requirements.
  • Excellent written and verbal communication skills.
  • Strong organizational skills with exceptional attention to detail.
  • Ability to manage multiple priorities and solve problems independently while collaborating across departments.

Preferred
  • Experience supporting major retail customers such as Home Depot, Lowe's, Costco, Menards, Walmart, Target, or similar national accounts.
  • Experience with EDI platforms and retail integration systems such as Apprise, SPS Commerce, CommerceHub/Rithum, or equivalent platforms.
  • Experience managing deductions, chargebacks, accounts receivable reconciliation, forecasting, replenishment programs, or consignment inventory.
  • Experience creating or improving SOPs and operational processes.

What Success Looks Like
  • Customer orders are processed accurately, efficiently, and on time.
  • Compliance requirements and retailer expectations are met consistently.
  • Deductions, chargebacks, and aging accounts receivable are actively managed and resolved.
  • Potential inventory, fulfillment, or service issues are identified early and communicated proactively.
  • Internal teams and external customers receive clear communication, timely updates, and dependable follow-through.
  • Account processes are documented, scalable, and continuously improving.
