POSITION TITLE: Auxiliary Services Coordinator
SUPERVISOR: Director of Auxiliary Services
PURPOSE:

The Auxiliary Services Coordinator manages campus reservations and event logistics while serving as backup support for OaKard, parking, ticketing, and copy services. The position collaborates with campus partners and provides excellent customer service.


RESPONSIBILITIES:

Campus Reservations & Event Coordination

  • Manage the campus reservation system (25Live) by reviewing, approving, and responding to room reservation requests in a timely manner.
  • Coordinate room reservations for internal and external users while ensuring compliance with university policies and procedures.
  • Serve as the primary liaison between event requesters, Dining Services, Facility Services, University Police, Accounting Services, and other campus departments.
  • Coordinate catering, room setups, audiovisual needs, and other event logistics.
  • Communicate with requestors to gather event requirements and provide guidance throughout the planning process.
  • Conduct site visits with event organizers to review logistics and facility needs.
  • Maintain and update the campus-wide events calendar.
  • Review event contracts and facility use agreements as appropriate.
  • Coordinate billing for external events and work with Accounting Services to prepare invoices.
  • Monitor event schedules and respond to changes or operational issues.
  • Ensure events comply with university policies, facility usage guidelines, and safety regulations.
  • Collect customer feedback and recommend improvements to reservation and event processes.
  • Prepare reports on reservation activity, event utilization, and operational metrics.
  • Assist with training campus users on reservation procedures and the 25Live reservation system.
  • Review and update reservation procedures and event policies as needed.

Auxiliary Services Operations - Secondary/Backup Support
  • Serve as backup support for OaKard Services, Parking Services, ticket sales, campus copy management, and lost and found.
  • Issue ID cards and parking decals, process account activity and transactions, and manage online requests.
  • Maintain accurate records, reconcile funds, and prepare reports and deposits.
  • Coordinate with campus departments, University Police, Accounting Services, and external customers as needed.
  • Provide excellent customer service to students, faculty, staff, visitors, and community members.
  • Participate in departmental planning and cross-train in Auxiliary Services functions.
  • Perform other duties assigned by the Director of Auxiliary Services.
QUALIFICATIONS:

  • Bachelor's degree in Business Administration, Communications, Hospitality, or a related field preferred.
  • Ability to respond professionally to inquiries and complaints from campus and community stakeholders.
  • Strong customer service, interpersonal, organizational, and written and verbal communication skills.
  • Proficiency in Microsoft Office.
  • Prior customer service experience preferred.

OFFICE HOURS: Eight (8) hours per day, Monday-Friday, 40 hours per week. Additional hours worked as needed.
