Job description

Administrative Assistant IV

Teller County's Public Health Department located in Divide, CO is seeking an experienced Administrative Assistant IV who will be responsible for the administrative management of the Public Health Office including budget and grant oversight, fiscal management and other duties to ensure the efficient operations of the department.

With Director oversight, responsible for the fiscal management of departmental expenditures. Prepare accounts payable vouchers to comply with budgetary standards, assigning line-item numbers for director's approval.

Assist the Director in the development of the department's annual budget.

Monitor grant expenditures for reporting departmental financials as well as regular program financial reviews with program managers.

Maintain a high level of understanding of agency contracts and responsibilities; research data and gather information for preparation of quarterly and annual reports to the Board of Commissioners quarterly expenditure reports and program audits.

Manage revenue system for department; collect, record, and deposit fees received; bill accounts due; and record on spreadsheet software.

Prepare grant/contracts/subcontracts/leases including billing and reimbursement statements according to their individual reimbursement schedules, review reimbursements for compliance.

Responsible for electronic Medicaid billings according to state guidelines.

Assist staff with updating agency sliding fee schedules according to yearly cost analysis of operating and personnel expenses.

Assist with the preparation of program proposals and budgets, with the appropriate staff, program coordinators and/or the Director/Deputy Director, per contract requirements.

Support yearly flu clinics by invoicing businesses/Medicare/Medicaid in collaboration with the immunization coordinator and/or Director.

Environmental Health Support with Retail Food Establishment licenses and Onsite Wastewater Treatment System payments, record search, and tracking, and deposits.

Assist with the vital statistics program; duties include determining eligibility for receiving certified records, making changes to records, resolving discrepancies in information, coordinating with various government agencies such as courts, law enforcement, hospitals, funeral homes, physicians, the public and others, ensuring compliance with laws, rules, regulations, policies, and procedures.

Cross train Administrative Assistant III to assist with accounts payable, Medicaid billing and revenue systems for the department as well as basic budget training and grant management.

Provide Emergency Preparedness support as needed.

Provide backup with front desk clerical work as needed.

Requirements

Experience/Education :

  • High school diploma or equivalent
  • Five (5) years of office management experience with course work in business preferred; medical office/billing and/or vital statistic experience preferred
  • Grant writing experience preferred
  • Any acceptable combination of education, training and experience that provides the listed knowledge, skills and abilities may be substituted.

You Also Have The Following Knowledge, Skills & Abilities:

Knowledge of: principles and processes for providing excellent customer service, including customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction; computers and various office equipment; principles of office management; bookkeeping principles; grant writing; budget process.

Skilled in: time management; organization.

Ability to: communicate effectively in writing and verbally; establish and maintain effective and professional working relationships with co-workers, other county departments, representatives of other agencies and organizations, and the public; maintain and manage a filing system; record data accurately; establish and maintain effective working relationships with employees and the public; work with little or no supervision; master multiple complex accounting systems and varied fiscal years; maintain confidentiality.

Additional Details About the Role:

Visual Acuity/Hearing/Speaking: Must be able to write and read; able to hear, see and speak.

Physical Effort/Dexterity: This position works in an office setting with occasional local travel. This position requires light physical exertion and the normal range of motion, dexterity, and vision.

Environmental Factors: Work is generally performed in an office setting; occasional local travel may be required.

Work Schedule/Characteristics: 40 hours per week; additional hours may be required during busy times.

License/Certification Requirements: Possession of and ability to maintain a valid Colorado driver's license; CPR certification and Vital Statistics Deputization within 90 days of hire.

Compensation and Benefits:

Salary range: $23.69 - $24.87 / hour

Status: Full-time, Non-Exempt
