Job description

Overview
The Replacement Analyst is responsible for processing replacement and conservancy case requirements in accordance with state notification regulations for all states excluding New York. This role ensures full compliance with state replacement regulations and company standards while supporting Financial Representatives, Underwriting, and external insurance companies throughout the replacement process.
Key Responsibilities
Replacement Case Processing & Analysis
  • Review and analyze replacement disclosure forms submitted by Northwestern Mutual Financial Representatives to ensure accuracy, completeness, and compliance with state replacement regulations.
  • Interpret and apply state-specific replacement requirements, identifying missing documentation, inaccuracies, or regulatory issues.
  • Communicate directly with Financial Representatives to obtain required corrections or additional documentation.
  • Ensure all state notification deadlines are met consistently to maintain compliance standards.
  • Notify replaced companies within state-mandated timeframes following receipt of applications.
  • Review disclosure forms for mathematical accuracy, completeness, and appropriate responses.
  • Approve disclosure forms or return them to Financial Representatives for correction when necessary.
  • Analyze sales materials and illustrations for compliance with state replacement and illustration regulations.
  • Request additional sales materials or documentation when required.
  • Investigate undisclosed replacement transactions identified through the New Business Personal History Interview process.
  • Update internal systems and documentation based on state regulations and case-specific requirements.
  • Partner with underwriters to manage replacement requirements and support timely case resolution.
  • Effectively manage pending case volume, follow-ups, and unassigned case reports.

Field & Help Line Support
  • Independently respond to replacement-related inquiries received through the division help line.
  • Assess the urgency of calls and take appropriate action to address concerns.
  • Escalate issues requiring management authority or specialized expertise to the appropriate team members.
  • Apply in-depth knowledge of replacement regulations, procedures, and guidelines across multiple application types.
  • Utilize and maintain knowledge of internal resources, manuals, and reference materials.
  • Educate the Field on replacement requirements and available compliance resources, including LINKnet.

Replacing Company & Conservancy Support
  • Review notification forms submitted by replacing companies for accuracy, completeness, and regulatory compliance.
  • Correspond with replacing companies to request additional information or documentation when required.
  • Scan and distribute notifications received from replacing companies.
  • Provide Financial Representatives with scanned sales materials and illustrations to support conservancy efforts.

Replaced Company Coordination
  • Respond to replaced company inquiries regarding inaccuracies or requests for additional information.
  • Research application files to verify whether related replacement documentation has been processed.
  • Evaluate and determine necessary corrections to disclosure statements.
  • Return corrected disclosure statements to Financial Representatives.
  • Ensure corrected documentation is routed appropriately to replaced companies once completed.

Qualifications
  • Experience in a high-volume, production-oriented environment.
  • Strong attention to detail with the ability to handle complex and highly detailed work accurately.
  • Demonstrated analytical skills and sound judgment in applying rules and regulations.
  • Strong customer service experience working with internal partners, Field representatives, and third parties.
  • Excellent written and verbal communication skills.
  • Ability to work independently while contributing effectively as part of a team.
  • Consistent attendance and reliable job performance.

Preferred
  • Experience in Insurance Operations.
  • Knowledge of state replacement regulations.
  • Prior case management experience.
