SUMMARY
As a Sr Proposal Writer, you own all things RFx (RFP, RFI, RFQ, ISQ) for Avetta's global sales organization. This is not a simple coordination role: you are expected to build genuine product and industry fluency and apply that knowledge to interpret non-standard requirements, identify the right subject-matter stakeholders, and craft responses to opportunities that don't fit our standard playbook.
As artificial intelligence (AI) becomes a standard part of everyday workflows, this role is evolving alongside it. Writing and sales positioning skills remain essential, but they now sit alongside two increasingly critical skillsets: the technical depth to validate, discern, and refine AI-generated content - and the AI fluency to manage and evolve our content ecosystem (including the Loopio Library) and generate high-quality collateral through generative AI and agent-based tools (familiarity with tools like Glean is a bonus). You are the thought leader who weaves sales strategy and win messaging into every response, the technical translator who knows when an AI-drafted answer needs a human hand, and the champion who scales proposal operations through automation - all while supporting Avetta's global opportunities and navigating the nuances of amending responses to fit local legislation, market attitudes, and language.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
  • Manage and execute the full RFx lifecycle (RFP, RFI, RFQ, ISQ), including planning, producing, and delivering compliant, high-quality proposals for the global sales organization.
  • Serve as the technical and sales strategy authority on proposal content - validating and refining AI-generated drafts for accuracy, identifying non-standard or non-core requirements, and knowing which subject-matter stakeholders (Product, Implementation, Risk Advisory, Localization, Solution Engineering, and others) need to be looped in to close gaps.
  • Collaborate with Sales, Solution Engineering, Marketing, Product, Legal, and other stakeholders to develop winning strategies and ensure proposal content reflects current product releases, go-to-market priorities, and competitive positioning.
  • Serve as a hub for cross-functional messaging, weaving sales strategy and win themes into every response for more impactful, brand-aligned proposals.
  • Own and evolve the proposal content ecosystem, including the Loopio Library, ensuring content stays current, well-organized, and trustworthy for both human and AI-assisted use.
  • Champion the buildout and refinement of AI and agent-based tools for content generation, moderation, and search, scaling repeatable proposal tasks while preserving time for bespoke customer collateral.
  • Coach proposal contributors in persuasive writing, sales strategy, technical accuracy, and proposal best practices, and train the team on content moderation and proposal tool usage.
  • Support global RFx opportunities, adapting content and positioning to reflect local legislation, market attitudes, and language nuances across regions.
  • Proactively review product release notes and business updates to assess impacts on proposal content libraries and implement required changes.
  • Leverage data and analytics to track proposal asset usage, support activities, and drive continuous improvement in win rates, sales cycle speed, renewals, and expansions.
  • Participate in Product, Solution Engineering, and Sales Enablement meetings to build and refine deep product and industry knowledge, applying that expertise to unique opportunities.
  • Ensure all deadlines are met alongside the Proposal Coordinator, managing multiple high-profile proposals simultaneously with excellent organizational and communication skills.
  • Apply your unique skillset to cross-functional projects with Value Engineering, Solution Engineering, Enablement, and Marketing, providing leadership and impact both within the Proposal Management function and beyond - providing additional role exposure and opportunity for growth.

IDEAL EXPERIENCE, EDUCATION & TRAINING:
  • 8+ years of experience in proposal management, sales operations, marketing, or similar roles.
  • 3+ years of experience in software as a service (SaaS) or compliance industries.
  • Supply chain, contractor management, field service, or compliance experience desired.
  • Proven success managing complex proposals and collaborating across departments and technical / business stakeholders.
  • Strong written and verbal communication skills, with the ability to convey complex technical concepts in clear, persuasive, and value-focused language.
  • Strong understanding of sales and solutioning processes, go-to-market (GTM) motions, and how technical and business teams intersect to drive commercial success.
  • Hands-on experience with proposal content repositories (Loopio, RFPio, etc.) and generative AI / agent-based tools for content management and creation; familiarity with Glean a plus.
  • APMP certification(s) highly preferred; candidates willing to pursue certification with company sponsorship will also be considered.
  • Experience supporting global opportunities, with an understanding of how to adapt responses for local legislation, regulatory expectations, and language / cultural nuances.
  • Bachelor's Degree in English, Journalism, Communications, Marketing, Technical Writing, or a related field preferred; though related experience will be considered as a substitute.
  • Hands-on experience with Salesforce, Gong, JIRA / Confluence, and Microsoft 365 Suite.
  • Proficiency in PowerBI, Tableau, and similar systems for data visualization and reporting.
  • Ability to manage multiple projects and stakeholders in a fast-paced environment.
  • Minimal travel (<10%) expected, primarily for internal planning and sales strategy alignment.
  • Occasional availability outside standard working hours to accommodate global stakeholders.

At Avetta, we are committed to salary transparency to ensure equitable hiring practices and promote trust. The salary range included in this job posting is based on internal and market data and the role's responsibilities. The final compensation offered to a candidate will be determined by several factors, including work location, job-related skills, experience, and relevant education or training.
The salary range is $103,000 - $117,000 USD per year, with a potential bonus.
