Job description

Clinic Operations & RHC Compliance Lead
Triad Complete Healthcare  |  Oklahoma Clinic Network
  • Department: Operations / MSO Administration
  • Employment Type: Full-Time, Exempt Hybrid Remote/ in-office
  • Travel: 50-75%, regular travel to all clinic locations, including some overnight trips
  • Locations Covered: Ponca City, Stillwater, Stroud, Shawnee, Ardmore, Stigler, Poteau
  • Core Systems: AthenaHealth, Weave Phone System, Microsoft 365, Anthropic Claude AI
Position Overview
The Clinic Operations & RHC Compliance Lead spends most of the week out at our clinics, not behind a desk. This role bridges MSO leadership and the clinic floor, keeps procedures consistent from one location to the next, champions the patient experience at every visit, and carries Triad's Rural Health Clinic (RHC) work from certification through ongoing compliance.
Key Responsibilities
Clinic Visits & Field Operations
  • Visit every clinic on a regular rotation, working the floor to observe front desk workflow, patient flow, and how staff use Weave and Athena day to day.
  • Serve as the on-site point of contact for clinic managers when something needs an answer from the MSO side, staffing, equipment, vendor, or policy.
  • Coach staff in person and follow corrective actions through to close using a standardized site-visit process.
MSO and Clinic Coordination
  • Serve as the primary liaison between clinic teams and centralized MSO functions: HR, payroll, billing, compliance, and vendor management.
  • Identify where corporate policy breaks down at the clinic level and correct the underlying process, not just the paperwork.
  • Standardize procedures across all locations so patients and staff receive a consistent experience at every clinic.
Patient Experience
  • Uphold patient experience as a standing priority on every visit: wait times, front-desk communication, and timely resolution of patient requests.
  • Monitor patient feedback, including reviews, phone and portal contacts, and complaints, for recurring issues and translate them into fixes at the location level.
  • Coach clinic staff on patient communication standards alongside operational and compliance training.
Rural Health Clinic (RHC) Compliance
  • Lead new RHC certification for eligible locations, from site assessment through the HRSA/CMS application and state licensure survey.
  • Maintain compliance at already-certified sites: scope of service, staffing ratios, CLIA-waived lab requirements, and the Annual Program Evaluation.
  • Maintain an RHC compliance calendar and an audit-ready binder for every site.
Qualifications
Education & Experience
  • Bachelor's degree in healthcare administration, business, nursing, or a related field, or equivalent experience.
  • 3+ years in healthcare operations or MSO administration, including at least 2 years working with Rural Health Clinics, FQHCs, or a comparable compliance framework.

Skills & Expertise
  • Multi-site healthcare operations: experience managing operations across multiple clinic or facility locations. MSO, FQHC, or RHC network experience preferred.
  • RHC / regulatory knowledge: working knowledge of RHC Conditions for Certification (42 CFR 491) and the certification process. Direct RHC experience is a strong plus.
  • EMR and phone systems: proficiency with Athena and Weave, or comparable EMR and clinic communication platforms.
  • Compliance and audit readiness: experience maintaining survey-ready documentation for HIPAA, OSHA, CLIA-waived labs, and state clinic licensure.
  • Process standardization and training: able to turn inconsistent site practices into one standard and train staff on it in person.
  • Relationship management: trusted equally by corporate leadership and clinic-level staff.
  • Travel readiness: valid driver's license and reliable transportation; able to travel 50-75% across Oklahoma, including occasional overnight travel.
