Job description

Pritchard Industries is a dynamic and innovative provider of comprehensive facility services, dedicated to enhancing the operational efficiency of our client partners in the industries we serve. With services from facility maintenance and janitorial to landscaping and snow removal, we enable desired outcomes for our clients through consistent service and outstanding people.

Pritchard Industries is seeking a detail-oriented Temporary Fleet Administrator to support the day to day operations of the company vehicle fleet. This role will assist with fleet administration, vendor coordination, compliance tracking, reporting, vehicle records, and driver support.

The Fleet Administrator will work closely with internal Operations teams, drivers, and our Fleet Management Company (FMC) to ensure vehicles are properly maintained, registered, fueled, compliant, and ready to support the business.

This role is ideal for someone who thrives in a fast-moving environment, enjoys solving problems, and can manage multiple priorities with strong attention to detail.

Key Responsibilities

Fleet Administration:

  • Maintain accurate fleet records including vehicle assignments, registrations, titles, toll accounts, fuel cards, maintenance history, and driver data
  • Process new vehicle orders, vehicle disposals, transfers, and reassignment requests
  • Coordinate vehicle onboarding and offboarding activities
  • Track vehicle inventory and status across all operating locations
  • Manage fleet inbox, requests, and service tickets

Vendor & FMC Coordination:

  • Serve as daily point of contact for the Fleet Management Company and other fleet vendors
  • Submit and track requests related to maintenance, fuel cards, registration renewals, tolls, telematics, roadside assistance, and accidents
  • Follow up on open issues to ensure timely resolution
  • Support vendor billing reviews and invoice reconciliation

Compliance and Safety:

  • Monitor registration expirations, inspections, driver documentation, and required certifications
  • Assist with DOT and driver compliance tracking where applicable
  • Support accident reporting processes and claim documentation
  • Maintain required fleet documents and audit files

Maintenance Support:

  • Monitor preventive maintenance schedules and overdue service items
  • Coordinate repairs and downtime updates with drivers and vendors
  • Help identify recurring maintenance issues and escalation needs
  • Ensure vehicles remain safe and road ready

Reporting & Analytics:

  • Prepare recurring fleet reports such as vehicle inventory, utilization, maintenance status, fuel activity, and compliance dashboards
  • Maintain spreadsheets, systems, and reporting tools
  • Support cost savings initiatives through accurate data tracking and analysis

Qualifications

  • Associate's or Bachelor's degree preferred
  • 2+ years of experience in fleet administration, transportation, operations support, or related field preferred
  • Experience working with vendors and service providers
  • Strong organizational and multitasking skills
  • Proficiency in Excel and Microsoft Office
  • Strong communication and follow up skills
  • Ability to work independently in a remote environment
