Home Care Nurses America is an Arizona-based healthcare services organisation supported by the experience and systems of Home Care Nurses Australia, an established home care and healthcare staffing provider operating since 2014.
Our Australian business has extensive experience recruiting, credentialing and managing healthcare workforces across metropolitan, regional and difficult-to-service communities. We are now building a local workforce to support HCNA's home care and healthcare staffing operations throughout Arizona.
About the Role
We are seeking an experienced and highly organised Credentialing Administrator to manage the initial credentialing, compliance verification and onboarding of healthcare professionals and home care workers joining HCNA's Arizona workforce.
The role will support the onboarding of Registered Nurses, Licensed Practical Nurses, Certified Nursing Assistants and caregivers for healthcare staffing and private-pay home care assignments.
The Credentialing Administrator will progress candidates from recruitment approval through document collection, primary-source verification, onboarding and written clearance for work.
The successful applicant must have the confidence to identify compliance concerns, follow up incomplete requirements and withhold clearance when mandatory standards have not been satisfied.
Key Responsibilities
Initial Credentialing and Verification
  • Review candidates progressed by the Recruitment Administrator.
  • Issue the applicable credentialing and onboarding requirements.
  • Collect, review and securely maintain required documentation.
  • Verify professional licences, certifications and registrations through the appropriate primary sources.
  • Verify RN and LPN licences through the relevant state board and Nursys, where applicable.
  • Verify CNA status through the appropriate nurse aide registry.
  • Confirm that licences and registrations are active, unrestricted and appropriate for the proposed role.
  • Verify education, qualifications and relevant professional training.
  • Review candidates' employment histories and identify unexplained gaps or inconsistencies.
  • Complete employment reference checks in accordance with HCNA procedures.
  • Coordinate criminal background screening.
  • Complete required federal and state exclusion, sanction and disciplinary checks.
  • Review applicable Office of Inspector General and SAM.gov records.
  • Coordinate identity and employment-authorisation documentation.
  • Monitor completion of I-9 requirements within the required timeframe.
  • Verify CPR/BLS certification and other role-specific training.
  • Review applicable immunisation, tuberculosis, drug-screening, occupational health and health-clearance documentation.
  • Confirm completion of required skills checklists and competency assessments.
  • Identify and complete any facility-specific credentialing requirements.
Onboarding and Clearance
  • Issue employment documents, policies, agreements and required acknowledgements.
  • Monitor completion of orientation and mandatory training.
  • Follow up promptly on missing, incomplete or inconsistent information.
  • Maintain accurate candidate notes, documents and credentialing stages in JobAdder.
  • Ensure the initial personnel file is complete, accurate and audit-ready.
  • Determine whether all mandatory credentialing requirements have been satisfied.
  • Document and escalate discrepancies, adverse findings and unresolved concerns.
  • Issue written clearance confirming that a candidate is eligible to be considered for assignments.
  • Record any restrictions, limitations or facility-specific conditions.
  • Ensure candidates with incomplete, expired or unsatisfactory credentials are not cleared for work.
Compliance Handover
Once a worker has completed initial credentialing, the Credentialing Administrator will:
  • Upload all required verified documents to CLL and JobAdder.
  • Enter licence, certification, health and compliance-document expiration dates accurately.
  • Confirm that the worker's initial credentialing file is complete.
  • Refer the cleared worker to the Care and Staffing Coordinator for suitable assignments.
  • Complete a formal handover to the Timesheet/Administration Team, which assumes responsibility for ongoing document monitoring and renewals.
  • Resolve any original-file questions or discrepancies identified during the handover.
CLL will be configured to automatically remove or block a worker from assignment eligibility when a mandatory document expires. The Credentialing Administrator remains responsible for correcting errors or omissions relating to the original credentialing file or handover.
Shared Candidate Responsibility
The Recruitment Administrator and Credentialing Administrator share responsibility for progressing suitable candidates efficiently through recruitment, credentialing and placement readiness.
Both administrators are expected to:
  • Maintain regular communication regarding active candidates.
  • Monitor progress and promptly follow up outstanding requirements.
  • Keep JobAdder records and candidate stages accurate.
  • Identify and escalate delays or inactive files.
  • Keep candidates informed throughout the process.
  • Confirm current availability, preferred territories and shift preferences.
  • Ensure cleared candidates are promptly referred for suitable assignments.
  • Maintain candidate engagement through to successful placement.
Neither administrator should consider their responsibility complete merely because the candidate has moved to another stage.
Final placement remains subject to successful credentialing, worker availability, client requirements and suitable assignments.
About You
The successful applicant will ideally have:
  • Previous healthcare credentialing, compliance, onboarding or staffing-agency experience.
  • Experience credentialing RNs, LPNs, CNAs, caregivers or comparable healthcare workers.
  • Knowledge of professional licence and nurse aide registry verification.
  • Experience completing background, exclusion, sanction and disciplinary checks.
  • Familiarity with healthcare staffing and facility-specific credentialing requirements.
  • Strong knowledge of personnel-file compliance and document control.
  • Excellent attention to detail and sound compliance judgement.
  • The confidence to withhold clearance when mandatory requirements have not been satisfied.
  • Strong written communication, documentation and follow-up skills.
  • Experience using an applicant-tracking or credential-management system; JobAdder experience is highly regarded.
  • The ability to manage competing priorities and sensitive personal information.
  • A professional, responsive and candidate-focused approach.
  • The ability to work independently in a remote environment.
  • Knowledge of Arizona healthcare workforce requirements is highly regarded.
Healthcare credentialing or staffing compliance experience is strongly preferred.
Scheduling and Availability
HCNA's recruitment and credentialing function operates between 6:00 AM and 8:00 PM Arizona time to accommodate candidates with different work schedules.
The Credentialing Administrator will work individually authorised hours within this operating window and will not be expected to cover the entire period.
Applicants must be available for an agreed combination of early-morning, daytime, evening and occasional weekend hours. Preferred availability should be stated in the application.
Actual hours will be scheduled according to candidate volume and operational requirements. Initial hours are anticipated to average approximately 10-15 hours per week, but no minimum number of hours is guaranteed.
PRN Employment Arrangement
  • Hours may increase or decrease according to candidate volume and operational requirements.
  • All working hours must be authorised and accurately recorded.
  • No minimum number of weekly hours is guaranteed.
  • The position includes a 90-day introductory period.
  • Opportunities for increased hours may become available as HCNA's Arizona operations grow.
Performance Expectations
Performance will be assessed based on:
  • Initial credentialing turnaround times.
  • Accuracy and completeness of personnel files.
  • Quality and reliability of primary-source verification.
  • Timely follow-up of outstanding requirements.
  • Timely identification and escalation of adverse findings.
  • Accuracy of JobAdder records and candidate stages.
  • Accuracy of credential expiration dates entered in CLL.
  • Timely written clearance of compliant candidates.
  • Completeness and timeliness of compliance handovers.
  • Collaboration with the Recruitment Administrator.
  • Number of compliant candidates progressed to placement readiness.
  • Candidate communication and onboarding experience.
  • Compliance with HCNA's credentialing procedures.
Performance will not be measured solely by the number of candidates cleared. Credentialing accuracy, safety and compliance must not be compromised to meet volume or turnaround targets.
