Job description

We are looking for an experienced, highly organized Office Manager to join our team and oversee the day-to-day administrative and operational functions of our remote organization. In this role, you will manage office logistics, coordinate vendor relationships, support employee onboarding and offboarding, oversee equipment and supply procurement, and ensure that our remote team has the tools and resources they need to succeed. Key Responsibilities
  • Oversee the procurement, setup, and shipping of laptops, monitors, peripherals, and other equipment for remote employees.
  • Manage equipment inventory, tracking, and returns during employee onboarding and offboarding.
  • Coordinate with IT vendors to resolve hardware issues and process repairs or replacements.
  • Maintain relationships with equipment suppliers and manage pricing as needed.
  • Ensure compliance with company policies related to remote work, equipment usage, and data security.
  • Manage relationships with office service vendors (equipment suppliers, shipping carriers, software providers, etc.).
  • Process vendor invoices, track expenses, and ensure timely payment.
  • Order and distribute office supplies, branded materials, and home office stipend items for remote team members.
  • Partner with HR and IT to coordinate new hire equipment setup, account access, and welcome kits.
  • Manage the offboarding process for equipment returns, asset recovery, and vendor account closures.
  • Maintain organized digital filing systems for vendor contracts, equipment logs, and operational documentation.
Requirements
  • Must be a resident of the United States.
  • Previous experience in office management, facilities coordination, operations support, or related administrative leadership role is preferred.
  • Associate's or Bachelor's degree in Business Administration, Operations Management, or related field is preferred.
  • Impeccable attention to detail with the ability to manage multiple priorities, track inventory, and maintain order in a remote environment.
  • Experience coordinating with external vendors, managing contracts, and processing invoices.
