Job description

Job Title: Administrative Assistant - Commercial Contractor Location: Florham Park, New Jersey Type: Contract (6 months with potential for extension) Compensation: $30/hr - $32/hr Work Model: Hybrid – onsite and remote Hours: 40.0 hours per week Join a dynamic team supporting the growth of a leading commercial contractor in a pivotal administrative role. This hybrid position offers the opportunity to streamline operations, coordinate impactful projects, and work alongside senior leadership in a collaborative environment. Responsibilities

  • Provide administrative support to the Commercial department, including calendar management and scheduling of appointments/meetings.
  • Coordinate meeting logistics such as conference room reservations, meeting technology, and catering.
  • Assist with the development of internal/external communications and produce presentations.
  • Support corporate and department initiatives.
  • Coordinate extensive travel itineraries for team members (both domestic and international) utilizing travel management software.
  • Process expense reports and reconcile corporate card billing statements.
  • Create purchase orders and process invoices for payment.
  • Manage contracting processes, including routing and approval of MSA’s, SOW, CDA, etc.
  • Greet and interact with incoming guests, escort them to conference rooms, etc.

Requirements

  • Bachelor’s degree preferred, but applicable experience may suffice.
  • Administrative experience supporting upper management and their direct reports is preferred.
  • High proficiency with Microsoft Office Suite (Office, Word, Excel, PowerPoint, Adobe).
  • Excellent verbal and written communication skills.
  • Demonstrate a high degree of confidentiality with sensitive information.
