Job description

Are you an experienced healthcare scheduling professional who enjoys leading a team and creating an exceptional patient experience? MPOWER Physical Therapy is looking for a Therapy Scheduling Supervisor to lead our scheduling team and help ensure our patients receive outstanding service from their first interaction with us.

In this role, you will lead, coach, and support the Therapy Scheduling team while helping drive productivity, quality, and service excellence. You will also serve as a resource for complex scheduling needs, patient concerns, process improvement, and communication across departments.

What You'll Do
  • Lead, coach, and hold the Therapy Scheduling team accountable for productivity, quality, and service goals.
  • Provide ongoing training, feedback, recognition, and performance coaching to team members.
  • Monitor scheduling volume, referral trends, queues, and team productivity to ensure appropriate staffing and workload distribution.
  • Help schedule therapy evaluations and appointments based on physician recommendations, insurance requirements, clinic needs, patient condition, and patient preferences.
  • Serve as an escalation point for complex scheduling concerns and patient issues.
  • Provide exceptional customer service to patients, providers, and team members.
  • Support recruitment, interviewing, onboarding, and development of scheduling team members.
  • Monitor team dashboards and remote team activity to ensure service and productivity expectations are being met.
  • Identify opportunities to improve scheduling workflows, team efficiency, and the overall patient experience.
  • Partner with the Senior Director of Operations on staffing, performance, and operational initiatives.
  • Provide backup scheduling support during high-volume periods and staffing needs.
  • Ensure compliance with MPOWER policies, procedures, HIPAA requirements, and remote work expectations.

SKILL, TRAIT, AND COMPETENCY REQUIREMENTS

  • High School diploma or equivalent required
  • Previous experience in a customer service, healthcare, or medical office environment preferred
  • Prior experience as a Therapy Scheduler at MPOWER strongly preferred
  • Knowledge of insurance requirements and medical terminology preferred
  • Demonstrated leadership ability with strong interpersonal and team development skills
  • Excellent verbal and written communication skills
  • Strong organizational skills with the ability to prioritize and manage multiple responsibilities in a fast-paced environment
  • High level of personal accountability and attention to detail
  • Ability to remain calm, professional, and solution-oriented in difficult situations
  • Strong follow-up and problem-resolution skills with patients, providers, and team members
  • Ability to work effectively with Electronic Medical Record (EMR) and Practice Management systems with appropriate training
  • Proficiency in Microsoft Office Suite, including Outlook, Excel and Teams
  • Ability to analyze workflows, monitor productivity metrics, and identify areas for improvement

  • Commitment to maintaining patient confidentiality and compliance with HIPAA and organizational policies
