Work Schedule: Monday–Friday, 9:00 AM–5:00 PM | Hybrid Schedule (3 days onsite, 2 days remote)

Job Description:

Our client is seeking a polished and highly organized Administrative Assistant to support a Vice President in the behavioral health division. This individual will serve as a trusted partner to executive leadership, helping manage day-to-day operations, communications, scheduling, and strategic initiatives. The ideal candidate is proactive, detail-oriented, and capable of handling confidential information in a fast-paced professional environment.

 

Key Responsibilities:

  • Provide high-level administrative support to executive leadership within the Behavioral Health division
  • Manage a complex calendar, coordinate meetings, and prioritize scheduling needs
  • Prepare presentations, reports, meeting materials, and executive correspondence
  • Serve as a liaison between leadership, internal departments, and external partners
  • Take detailed meeting notes and track follow-up items to ensure timely completion of projects and initiatives
  • Assist with organizing priorities, timelines, and operational workflows for the department
  • Handle sensitive and confidential information with professionalism and discretion
  • Support special projects and departmental initiatives as needed
  • Coordinate logistics for meetings, events, and occasional off-site visits
  • Troubleshoot basic technology or presentation issues as needed

 

Qualifications:

  • Bachelor’s degree required
  • 3+ years of administrative or executive support experience
  • Experience supporting senior leadership or executive-level professionals
  • Strong organizational, multitasking, and time management skills
  • Excellent written and verbal communication abilities
  • High attention to detail and ability to manage competing priorities
  • Professional, polished, and personable demeanor
  • Proficiency with Microsoft Office Suite, Outlook, Teams, and virtual meeting platforms
  • Ability to work independently while maintaining strong collaboration across teams
  • Healthcare or nonprofit experience is a plus
  • Bilingual English/Spanish is a plus
  • Must have reliable transportation
