Job description

SUMMARY:
This position will transition to a remote role once the employee is fully trained and receives management approval. Training will be completed on-site at our corporate office in Warwick, RI.
Under the general supervision of the Patient Access Manager and according to established policies and procedures, the Patient Scheduler is responsible for scheduling calls and faxes for all RIMI locations. Reviews exam preparation, gives directions, builds patient accounts, and discusses insurance, pre-authorization, eligibility, and payment policies with patients prior to their arrival. Interacts with the radiologists, referring physicians, and staff as required. Coordinates with site managers, modality leads, reception, transcription, billing, management, and other personnel at all sites to ensure efficient operations.
SCHEDULE:
  • Monday-Friday 9:00 AM-5:30 PM

PRINCIPLE DUTIES AND RESPONSIBILITIES:
  • Handle telephone calls in a timely, courteous, and efficient manner when scheduling patients and responding to questions; provide excellent customer service and exhibit helpful behaviors.
  • Understand and apply insurance pre-authorization rules and RIMI policies regarding the scheduling of exams.
  • Obtain correct demographic and insurance information when scheduling patient exams.
  • Scan authorizations and communicate with the Authorization staff when necessary.
  • Coordinate and communicate with the Radiologist and referring physician as required.
  • Ensure that scheduling, patient account, insurance, and other related records are properly completed with the correct patient identification, statistical, and billing information.
  • Contact patients to clarify information whenever required.
  • Coordinate with and provide additional assistance to other personnel in areas outside primary areas of responsibility when possible or necessary.
  • Complete patient satisfaction calls for a sample of patients as instructed.
  • Ensure that all interactions are in compliance with HIPAA, federal, and state compliance regulations.
  • Available as scheduled to provide scheduling duties at specified times assigned.
  • Ensure proper operation of equipment at all times.
  • Responsible for immediately reporting any concerns regarding equipment operation to the Supervisor.
  • Responsible for immediately reporting any concerns regarding a referring office, patient, and/or the employee themselves to the Supervisor.
  • Train in accordance with the department needs as assigned.
  • As scheduled, remain flexible and available to perform duties at specific times
  • Offer flexibility to ensure that there is proper staffing coverage.
  • Additional duties as assigned.

BASIC KNOWLEDGE/SKILLS:
  • Knowledge of health insurance requirements as it relates to pre-authorization, eligibility, and out-of-pocket responsibilities.
  • Interpersonal skills to interface effectively with patients who may be under physical and/or emotional stress, referring physicians, staff, the Radiologist, and fellow employees.
  • Organizational and analytical skills to compile and interpret data.
  • Ability to perform basic computer skills is required.

EXPERIENCE:
  • Medical office experience and previous patient scheduling experience preferred.

EDUCATION:
  • High school diploma or equivalent.
