Ardent Eagle Solutions (AES) is seeking Records Management Specialists to support a competitive federal contracting opportunity with the U.S. Department of Commerce (DOC), Economic Development Administration (EDA).

The Records Management Specialist will support the assessment, modernization, and ongoing execution of EDA's Records Management Program. Working alongside senior records management personnel and Government stakeholders, this position will assist with records inventories, audits, electronic records management, document control, disposition activities, administrative procedures, program documentation, and records management training and sustainment efforts.

Background

EDA requires contractor support to strengthen and standardize records management practices across its Headquarters and six regional offices. The program is intended to improve records inventories and disposition processes, digital and email records controls, process documentation, training, and the overall consistency and sustainability of EDA's Records Management Program.

The work will support a broader effort to establish practical, repeatable records management processes and transfer usable tools and resources to Government personnel.

Responsibilities

The Records Management Specialist is expected to:

  • Support Senior Records Managers in assessing, redesigning, and executing EDA's Records Management Program.
  • Assist with the analysis, development, and review of administrative operating procedures.
  • Support records management activities, management plans, reports, and program documentation.
  • Participate in records inventories, audits, and reconciliations.
  • Identify and document records series, owners, formats, volumes, locations, restrictions, and applicable records schedules.
  • Coordinate and track document requests in accordance with applicable NARA and Federal Records Center guidance.
  • Support classification reviews, as required.
  • Respond to customer requests for records, documents, or records management assistance.
  • Digitize analog records into electronic formats in accordance with applicable NARA standards.
  • Support preparation of expired records for authorized destruction or other disposition.
  • Perform records receipt, storage, indexing, and inventory activities.
  • Conduct quality control reviews of records and box contents.
  • Perform inventory reconciliations and assist with identifying discrepancies or corrective actions.
  • Support digital and electronic records activities involving email, electronic messages, shared drives, SharePoint, and other repositories.
  • Assist in developing SOPs, desk guides, checklists, training materials, and other records management resources.
  • Coordinate schedules for deliverables, reviews, briefings, and other program activities.
  • Assist with progress reporting, transition activities, and knowledge transfer.
  • Collaborate with geographically dispersed Government and contractor personnel to support consistent records management practices across EDA.
Qualifications

Approximately 4 or more years of related professional experience in records management, document management, information management, information governance, administrative records support, or a closely related field.

  • Experience working with NARA records retention policies, schedules, or records management requirements.
  • Experience supporting records inventories, file plans, records disposition, document control, indexing, digitization, or records reconciliation activities.
  • Familiarity with electronic records and common digital repositories, such as shared drives, SharePoint, email systems, or comparable platforms.
  • Ability to organize, track, review, and reconcile large volumes of records or information accurately.
  • Strong attention to detail and commitment to quality control.
  • Ability to interpret established policies and procedures and apply them consistently.
  • Strong written and verbal communication skills.
  • Ability to collaborate effectively with senior records management personnel, Government stakeholders, and geographically dispersed teams.
  • Prior federal records management or federal contracting experience is preferred.
Education

Bachelor's degree in a related field or equivalent combination of education and relevant professional experience.

Location and Work Hours

This position is expected to be primarily remote and may be performed from locations throughout the United States, subject to final contract requirements and Government approval.

Although this requisition may be advertised using Philadelphia, PA as the posting location, candidates are not expected to reside in the Philadelphia metropolitan area solely because of the posting location.

The position will support EDA Headquarters and/or one or more regional offices located in Philadelphia, Atlanta, Chicago, Austin, Denver, and Seattle. Current contract documentation anticipates primarily remote performance with onsite support when appropriately authorized.

Normal work hours are expected to be Monday through Friday during standard business hours, excluding Federal holidays and Government-directed closures.

Travel

Approximately 10% travel is anticipated based on current planning assumptions. Travel may include authorized visits to EDA Headquarters or regional offices to support inventories, assessments, meetings, records activities, training, or other program requirements.

Compensation

Anticipated Salary Range: $65,000 - $110,000 annually

This position is being recruited in support of a competitive federal contracting opportunity, and AES is continuing to develop its staffing, labor category, and compensation strategy. Because this position is expected to support a primarily remote workforce and qualified candidates may reside in different geographic markets throughout the United States, compensation expectations may vary considerably by location.

Final compensation will consider factors including geographic market, relevant experience, education, specialized records management expertise, applicable labor category requirements, and contractual and business considerations.
