Job description

Administrative Support Associate 

Mission: Cultivating environmentally sound, economically viable, community-focused farms and food systems

Position overview: The Finance team at Pasa works across the organization to manage grants, finance, and compliance responsibilities, including contract review. This position will provide administrative support for both contracts management and grants management.

Pasa's grants include about 20 active private, state, and federal opportunities ranging in size, scope, and duration. Program staff serve as grant leads while the Grants team facilitates the grant lifecycle administration, from grant proposals to budget and deliverable tracking to grant closeout. Pasa's current largest grant provides $36.5 million in direct farmer payments, requiring close review of all farmer contracts. This position will provide administrative support through detailed recordkeeping, scheduling, contract review, and proactive communication with team members.  

An ideal candidate for this position will have exceptional attention to detail, ability to foster collaborative relationships, and interest in nonprofit administrative management.  Candidates should have a willingness to learn and continuously develop skills in these areas.

This position will be supervised by the Grants Finance Manager.

This is a primarily remote position with in-person workdays and 2-3 annual in-person staff retreats. All employees are required to attend our annual Sustainable Agriculture Conference, which takes place each February in Lancaster, PA. Employees are required to live in Pennsylvania or within 150 miles of Harrisburg, unless they receive approval for Philadelphia or Pittsburgh to be their primary work location, in which case employees are required to live within an hour's drive from Philadelphia or Pittsburgh. Pasa does not provide relocation support. If hired, employees have 3 months to relocate. If you have questions, please inquire. Employees must comply with Pasa's remote employee policies.

Responsibilities

  • Lead contract filing and maintenance (amendment needs, renewal needs, etc)
  • Support Finance Director with review of farmer contracts for completeness before countersignature, following up on details where needed
  • Collaborate with Pasa staff to answer questions and steward the contract process
  • Support Grants Team leads through administrative and recordkeeping tasks
  • Follow grants and compliance policies and protocols and monitor staff adherence to them
  • Maintain data and documents in Google Drive, Salesforce, and Monday .com
  • Contribute to culture of open communication, collaboration, and dependability for internal team

Qualifications

  • 2+ years of administrative experience
  • Familiarity with Google Workspace (Gmail, Calendar, Drive, etc.)
  • Database use (Salesforce preferred, but not required)
  • Project management software use (Monday .com preferred, but not required)
  • Ability to work independently and as collaboratively part of a team
  • Excellent written and verbal communication skills
  • Excellent organizational skills and attention to detail
  • Comfortable juggling multiple projects and tight deadlines
  • High level of discretion with confidential and sensitive information

Preferred qualifications

  • 1+ years of production agriculture experience

Compensation: This is a full-time position, funded through July 2028. Annual salary for this position is $60,900. After each year of employment, employees bilingual in English and Spanish are eligible for a $1,000 bonus (up to 5 years maximum). Benefits include a one-time bonus of $500 to help offset home office expenses, health, vision, and dental insurance; company wellness plan contributions; pre-tax health and dependent care flexible spending accounts; 401K retirement match; flexible scheduling; fifteen paid holidays; and a generous leave policy, along with a work computer and peripherals provided, travel expenses and mileage reimbursement.
