Overview

Looking for a role where organization, communication, curiosity, and teamwork make a meaningful difference? BerryDunn is seeking a highly organized, detail-oriented Proposal Coordinator to join our Business Development team.

In this role, you'll support proposal development efforts that help connect BerryDunn's expertise with clients who need it most. Working both independently and collaboratively, you'll prepare proposal materials, conduct research, develop graphics and proposal components, maintain critical business development systems and content, and help proposal teams deliver high-quality, responsive submissions under strict deadlines.

We're looking for someone who is adaptable, resourceful, and eager to learn. The ideal candidate can follow established processes with accuracy, communicate clearly, contribute fresh ideas where appropriate, and seek feedback to improve the quality and efficiency of their work.

This position may be based in Portland, Maine, one of our other office locations, or remote in certain circumstances. The Proposal Coordinator reports to a Cohort Manager within BerryDunn's Business Development Department.

You Will
  • Conduct prospective client research to support proposal leads, writers, and business development pursuit efforts.
  • Prepare proposal shell outlines and supporting materials in accordance with solicitation requirements, established templates, and guidance from the proposal lead.
  • Gather, organize, and maintain accurate proposal content from internal resources, subject matter experts, and approved content repositories.
  • Develop organizational charts, work plan overviews, and other proposal graphics that align with solicitation needs, enhance readability, and comply with BerryDunn branding and design standards.
  • Convert, format, and maintain staff and subcontractor resumes in accordance with BerryDunn standards and solicitation requirements.
  • Collaborate with proposal team members to coordinate assigned activities and support the timely completion of proposal deliverables.
  • Review proposal materials for formatting, consistency, completeness, responsiveness to requirements, and adherence to solicitation instructions and established standards.
  • Collect, organize, maintain, and submit proposal content through approved content management systems and repositories.
  • Maintain accurate and timely opportunity, pursuit, and proposal data in Salesforce and support proposal closeout and data maintenance activities.
  • Support additional business development initiatives, projects, and departmental priorities as assigned.
  • Limited travel may be required (less than 5%).
You Have
  • Bachelor's degree in Communications, Marketing, English, Journalism, or a related field, or an equivalent combination of education and relevant experience.
  • Strong writing, editing, organization, analytical, communication, and interpersonal skills.
  • Exceptional attention to detail and ability to interpret and follow detailed instructions and requirements.
  • Strong time management skills with the ability to manage multiple priorities and deadlines in a fast-paced environment.
  • Ability to collaborate effectively with remote and/or traveling team members across locations, time zones, and work styles.
  • Proficiency in Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook.
  • Ability to work both independently and collaboratively while maintaining a high level of accuracy and quality.
  • Curiosity, adaptability, and a commitment to continuous learning and professional growth.

Also preferred: 

  • Knowledge of Salesforce or other customer relationship management platforms.
  • Advanced proficiency in Microsoft Word, including styles, formatting, layout management, templates, and document review features.
  • Familiarity with leveraging AI tools to improve productivity, efficiency, and quality in a professional environment.
  • Experience supporting proposal development, business development, marketing, communications, or other deadline-driven projects.
  • Prior experience working with templates, content libraries, document formatting standards, or structured processes.
Compensation Details

The hourly rate for this role is $26-$30 per hour. This rate range represents BerryDunn's good faith and reasonable estimate of the possible compensation at the time of posting. If an applicant possesses experience, education, or other qualifications more than the minimum requirements for this posting, that applicant is encouraged to apply, and a final rate may then be based on those additional qualifications; compensation decisions are dependent on the facts and circumstances of each case. The hourly rate for the finalist selected for this role will be based on a variety of factors, including but not limited to, years of experience, depth of experience, seniority, merit, education, training, amount of travel, and other relevant business considerations.
