Job description

The Administrative Assistant provides administrative and operational support to assigned departments and leaders. This role is responsible for coordinating schedules, arranging meetings, maintaining records, supporting travel and expense processes, and assisting with day-to-day office operations. The Administrative Assistant serves as a reliable resource to employees and visitors while helping ensure the office runs efficiently.
Work Arrangement: This role is primarily hybrid, with regular onsite attendance required Tuesday through Thursday at our Rancho Cucamonga office and remote work on Monday and Friday. Standard working hours are 8:00 a.m. to 5:00 p.m. Occasional adjustments to work hours and onsite attendance may be required to meet business needs, support company events, attend meetings, or address operational priorities.
Responsibilities:
Administrative Support
  • Provide administrative support to assigned leaders and functional teams.
  • Coordinate calendars, meetings, and conference room reservations.
  • Schedule interviews, meetings, and other business appointments.
  • Prepare, format, and distribute correspondence, reports, presentations, and meeting materials.
  • Support travel arrangements and itinerary preparation.
  • Process expense reports and reimbursement requests.
  • Maintain files, records, and departmental documentation.
  • Handle incoming inquiries and route requests appropriately.
  • Maintain confidentiality when handling sensitive information.
  • Assist with special projects and administrative tasks as assigned.

Office Coordination
  • Serve as a primary contact for facilities issues, maintenance requests, and property management communications.
  • Assist with ordering and maintaining office, kitchen, and breakroom supplies.
  • Support mail distribution, shipping, and receiving activities.
  • Coordinate catering orders and meeting logistics.
  • Assist with company events, team meetings, and employee activities.
  • Submit maintenance requests and coordinate with vendors as needed.
  • Support reception and visitor management activities when necessary.

Requirements:
  • High School Diploma or equivalent required.
  • Associate degree preferred.
  • 4+ years of administrative or office support experience.
  • Strong organizational and time management skills.
  • Professional written and verbal communication.
  • Excellent customer service and interpersonal skills.
  • Strong attention to detail and accuracy.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Proficiency with Microsoft Outlook, Word, Excel, and Teams.
  • Ability to work effectively both independently and within a team.

Pay and Benefits:
US$26.00 - US$31.00 Hourly
Final compensation offered will be determined based on a number of job-related factors, including the candidate's skills, experience, and qualifications. Employees in this role are eligible to participate in the company's benefits program, which includes medical, dental, and vision insurance, 401(k) with company matching, accrued vacation, floating holidays, and designated company holidays.
Offer contingent on successful completion of both a Background Check and Credit Check.
