Job Title: Biologic Manager

Location: Remote

FLSA Status: Exempt, Salary

Work Schedule: Monday - Friday, 8:00AM - 5:00PM with additional hours that may be required to meet business and departmental needs.

Training Schedule:

  • Will work from KYEE (Annex) or KYLND Admin Office.
  • After completing training, this role will be eligible for remote work from home.
  • The training period is expected to last approximately 4-6 months and may include some travel to support hands-on experience in clinic operations, front office functions, and biologic processes.

Summary of Duties and Responsibilities:

  • Direct supervision of Biologics staff.
  • Working with the Director of Immunotherapy to ensure adequate staffing is in place.
  • Provide training, mentoring, and discussing staffing situations or if disciplinary action needs to be taken.
  • Responsible for day-to-day processes in biologics (workflow, supply ordering, daily tasks, etc.)
  • Maintain responsibility for inventory control; review invoices and ensure most cost-efficient products are being used.
  • Maintain close working relationship with providers to understand any changes for biologic regimen or processes.
  • Maintain strong working knowledge of IMS; troubleshoot issues with IMS support and participate in recommending enhancements to improve the system.
  • Participate in staff meetings and provide feedback.
  • Ensure excellent customer services is provided by staff.
  • Monitor any patient feedback and provide training to enhance the customer service skills of staff.
  • Provide reports to CEO, CFO, COO and Director of Immunotherapy as requested.
  • Discuss all issues resulting from additional responsibilities of staff with Director of Immunotherapy.
  • Work with the Clinical Managers, Director of Clinical Services, Director of Billing Services, and Biologic Billing Manager to ensure efficient processes exist between departments and issues are addressed in a timely manner.
  • Responsible for assigning regional responsibilities to team.
  • Assisting team members with regional responsibilities as needed.
  • Obtaining physical monthly counts of biologic inventory for all offices.
  • Entering inventory into IMS when shipments are received.
  • Correcting manual adjustments when necessary.
  • Working with team members and nursing staff if issues with product occurs.
  • Ensuring that authorization tracking and SPN inventory spreadsheet is updated correctly.
  • Successfully handling any disciplinary or coaching statements for team members.
  • Monitoring productivity of team members and addressing concerns immediately.
  • Completing staff performance evaluations.
  • Weekly/Bi-weekly meetings with Biologic Billing Manager to maintain transparency and accountability for denied claims.
  • Creating/updating training material for the department and clinical/shot room nursing staff to ensure new processes are being implemented.
  • Monthly reporting on the biologic team's turnaround time for PA approval.
  • Any other tasks delegated by Director of Immunotherapy.

Requirements

Education:

  • Required: High School Diploma or GED
  • Preferred: Bachelor's degree in Pharmaceutical, Biological, or Health Sciences.

Experience:

  • Required: Minimum of 3 years of related experience in a Healthcare or Biologic management role and prior authorization knowledge.

Certifications/Licensure:

  • Preferred: Prior Authorization Certified Specialist (PACS) certified.
