Position Overview:

The Department of Healthcare and Family Services (HFS) is seeking a highly motivated and courteous individual to serve as the Office and Facilities Assistant for the Bureau of Administrative Services. This position will perform a variety of clerical duties for the bureau including preparing memorandums, reports, and correspondence. The position will also assist in facility management, coordinate state vehicle reservations, and other related duties consistent with the position description.

Essential Functions
  • Under general supervision, serves as Offices and Facilities Assistant by performing a variety of difficult and responsible clerical duties for the Bureau of Administrative Services
  • Serves as receptionist for the bureau
  • Coordinates facilities management for Healthcare and Family Services (HFS) executive offices in Cook County
  • Coordinates, reviews, and logs incoming and outgoing equipment transfer requests (HFS-701s), facility contracts, and leases
  • Coordinates with the Vehicle and Payment Coordinator to secure vehicles for Cook County staff
  • Serves as back-up timekeeper for the office
  • Performs other duties as required or assigned which are reasonably within the scope of duties enumerated above
Minimum Qualifications
  • Requires knowledge, skill, and mental development equivalent to completion of high school and one (1) year of related office experience
  • Requires ability to keyboard accurately at 35 words per minute
Conditions of Employment
  • Requires completion of a background check and self-disclosure of criminal history
  • Requires the ability to utilize and maintain state issued equipment such as a laptop
  • This position is considered medium work as defined by the U.S. Department of Labor (20 CFR 404.1567(c)). Medium work involves lifting no more than 50 pounds at a time with frequent lifting or carrying of objects weighing up to 25 pounds
