Job description

Salary: $600/month

PlantCon International


OPERATIONS LEAD

Works closely with the Operations Manager and assists with various tasks including venue research and outreach, law and regulation research for specific cities, assisting with on-site operations planning, etc.


OPERATIONS DEPARTMENT

This department focuses on the daily operational needs PlantCon has, which are general operations, customer care, exhibitor needs and on-site needs. It houses the following sub-departments: Operations, Customer Care (Admissions on-site) and Exhibitors.


Operations Team

Handles venue, permit, and licensing procurement. Ensures the event operates in compliance with all local, state, and federal laws.

Exhibitor Team
Oversees the map layout, exhibitor relations, exhibitor load in/out, and prepares resources for exhibitors.

Partnerships Team

Oversees sponsorships and brand relationships.

Customer Care Team

Oversees inbox management, admissions, and overall customer service.


Project Types

Your Operations Manager is here to support you and ensure your team is completing projects on time. As a member of the Operations Team, you will need to learn the state guidelines, venue regulations, and our processes.

This department has a lot of moving parts and preparation to manage to ensure success on-site. Stay engaged and ready to learn as you can, and be ready to offer support however you can. A big aspect of this role is providing helpful information and resources for the rest of the team. Staying up to date with relevant details and information is expected.


Pre-Event Projects

  • Complete tasks given to you from both the Head of Operations and Operations Manager.
  • Assist with researching venues in new cities.
  • Assist with researching law, regulations, or guidelines in cities that we have PlantCon. Tattoo Artist Regulations, Horticulture Laws for Selling or Transporting Plants, Regulations for Animals Sales, etc.
  • Ensure you are well informed of convention programming, processes, etc. to ensure we are compliant.
  • Assist the Exhibitor team if questions arise regarding compliance and/or permitting.
  • Assist the other sub-department leads within the Operations Department with completing various tasks.


Event Preparation Projects

  • Assist with Admissions area binder completion
  • Assist the Operations Manager to ensure all necessary permits are obtained
  • Assist the other sub-department Managers within the Operations Department with completing various tasks leading up to the event(s).


Week of PlantCon Remote Help

  • Take note of any operational issues that arise and are communicated by the Directors, Heads of Departments, or Operations Manager.
  • Assist the Operations Manager or Team in the Discord chats with venue and/or permit information
  • Assist the Customer Care and/or Exhibitor Team(s) manage the general inbox(es).


PlantCon Remote Help

  • Take note of any operational issues that arise and are communicated by the Directors, Heads of Departments, or Operations Manager.
  • Assist the Operations Manager or Team in the Discord chats with venue and/or permit information.
  • Assist the Customer Care and/or Exhibitor Team(s) manage the general inbox(es)


REQUIRED QUALIFICATIONS


This role requires you to stay focused, organized, detail oriented, tech savvy and be able to manage planning multiple events at one time.


The following are minimum requirements. Proof of previous work may be requested.


Digital Literacy and Technological Proficiency

  • Ability to use Discord for everyday communications
  • Ability to use Notion for everyday task management and communications as well
  • Ability to use Google Workspace for meetings: set meetings up, create booking calendars, create meeting events


Interpersonal skills

  • Ability to lead meetings and maintain professionalism
  • Ability to collaborate across departments
  • Ability to make calls to potential hosts and partners


Project Management

  • Ability to work on multiple projects simultaneously
  • Ability to meet deadlines


On-site

  • Ability to stand for multiple hours
  • Ability to lift boxes up to 25 lbs.


DESIRED QUALIFICATIONS

  • Previous experience in a Sponsorship obtainment role
  • Process Improvement
    • Ability to analyze current workflows to implement best practices
  • Familiar with project management software (Notion)
  • CRM Experience
  • Convention Force Experience


STIPEND

This role currently pays $600 each month.


HOURLY EXPECTATIONS

Total Hourly Weekly Expectations: 10-12 Hours

Total Required Meeting Time: 2.5 Hours


MEETINGS

All meetings below are required attendance for this position:

  • Monday - 6:00pm to 7:00pm CST - All-Team PlantCon Meeting
  • Thursday - 5:30pm to 6:00pm CST - Operations Team Meeting
  • Thursday - 6:00pm to 6:30pm CST - Operations Department Meeting


TRAVEL EXPECTATIONS

This position does not require travel to all PlantCon evebut if you are able to commit to all 6 events for the calendar year then PlantCon will cover your travel and hotel accommodations. PlantCon does not cover any food or rental vehicle costs at this moment.


If you are unable to commit to all 6, you are still welcome to come. You will be responsible for booking your own travel and hotel accommodations and we will reimburse you $500 on the following invoice.

As a Lead, you will be expected to arrive as early as the Tuesday before a PlantCon weekend and depart the following Monday or Tuesday.
