We are seeking a highly skilled, experienced, and organized Fuel Purchasing Manager to oversee the procurement, management, distribution and tracking of company fuel purchases. This role ensures the company secures high-quality fuel at competitive prices while maintaining compliance with company needs, industry regulations and internal processes. The manager will collaborate with vendors and project teammates, monitor market trends, and support operational efficiency through effective fuel management strategies

Key Responsibilities:

  • Develop and implement fuel procurement strategies to meet operational needs.
  • Source and negotiate with fuel suppliers to ensure cost-effectiveness and quality.
  • Monitor fuel consumption across projects
  • Establish and maintain relationships with fuel suppliers and distributors across all of our operational regions
  • Track and analyze fuel market trends, prices, and forecasts to inform purchasing decisions.
  • Ensure compliance with environmental and regulatory standards related to fuel storage and usage.
  • Manage contracts with fuel suppliers, including reviewing terms, insurance and ensuring adherence to agreements.
  • Develop and oversee a system for tracking fuel usage and costs, identifying opportunities for savings.
  • Collaborate with estimators, project managers and equipment teams to anticipate fuel requirements.
  • Respond to fuel-related issues and emergencies, ensuring minimal disruption to operations.
  • Prepare reports on fuel usage, costs, and supplier performance for senior management
  • Assist the estimating team with fuel purchase pricing and forecasting during project pursuits
  • Manage the procurement of fuel related consumables and equipment such as DEF and fuel tanks.
  • Ensure accuracy of fuel supplier invoices by verifying quantities, pricing, and terms against purchase orders and delivery record
  • Resolve discrepancies or disputes with suppliers promptly and professionally to maintain strong vendor relationships.
  • Collaborate with the accounting team to ensure timely processing of invoices and adherence to payment schedules.
  • Maintain detailed records of invoice approvals and supporting documentation for auditing and financial reconcile purposes
  • Monitor fuel tank maintenance, testing and location of company assets
  • Manage Fuel tank telematics program and devices.

Do you have what it takes?

  • Bachelor's degree in supply chain management, business administration, or a related field (preferred).
  • 35 years of experience in procurement, fuel management, or a related role in construction or transportation industries.
  • Knowledge of fuel types, market dynamics, and environmental regulations.
  • Organization and Computer Competency
  • Communicate effectively verbally and in writing
  • Willing to travel as needed to supplier locations or project sites
  • Strong negotiation and vendor management skills.
  • Excellent analytical and problem-solving abilities.
  • Proficiency in Microsoft Office Suite
  • Ability to communicate effectively with internal teams and external vendors.
  • Strong organizational and time-management skills.
