Job description

We are sharing a specialised part-time consulting opportunity for professionals experienced in executive support, inbox management, calendar coordination, productivity systems, personal administration, and structured life-admin workflows.

This role supports current and upcoming remote consulting opportunities focused on structured productivity review, inbox and calendar workflow analysis, commitment tracking, information organization, planning support, and high-quality project execution. Selected professionals will apply their executive support or productivity expertise to review realistic administrative scenarios, evaluate priorities and requirements, prepare structured written outputs, and support accurate, evidence-based life-admin workflow tasks.

Key Responsibilities

Professionals in this role may contribute to:

Inbox Management & Commitment Tracking

  • Review productivity scenarios involving email triage, priority rules, commitment extraction, follow-up tracking, and communication workflows
  • Evaluate inbox items against defined urgency, importance, stakeholder, deadline, and actionability criteria
  • Support structured review of promises made, promises received, pending actions, and required follow-ups
  • Prepare clear written outputs based on source materials, communication context, and defined rules

Calendar Coordination & Scheduling Review

  • Review scheduling scenarios involving calendar constraints, stated preferences, availability windows, meeting priorities, and feasibility requirements
  • Evaluate proposed calendar actions against timing conflicts, travel time, preparation needs, and priority rules
  • Support structured review of meeting plans, event schedules, rescheduling decisions, and calendar coordination workflows
  • Identify missing information, scheduling conflicts, required confirmations, and expected next steps

Information Organization & Productivity Systems

  • Review information organization workflows involving file classification, photo organization, knowledge systems, project trackers, and taxonomy-based sorting
  • Evaluate file structures, project trackers, classification outputs, and required-field lists against defined criteria
  • Support structured review of productivity systems using tools such as Notion, Apple Notes, Evernote, Google Drive, iCloud, Gmail, Outlook, or similar systems
  • Maintain accuracy, consistency, and professional judgment across submitted work

Ideal Profile

Strong candidates may have:

  • 3+ years of experience as an executive assistant, chief of staff, operations coordinator, productivity consultant, personal assistant, administrative manager, or similar high-context support professional
  • Experience with one or more areas such as principal-level inbox management, calendar triage, commitment tracking, personal knowledge systems, file organization, photo organization, project trackers, or administrative workflow design
  • Familiarity with tools such as Gmail, Outlook, Superhuman, Notion, Apple Notes, Evernote, Google Calendar, Google Drive, iCloud, Google Photos, Excel, Google Sheets, or similar productivity systems
  • Comfort reading and preparing life-admin artifacts such as triaged inboxes, commitment trackers, event plans, file taxonomies, project trackers, scheduling notes, and administrative summaries
  • Strong written communication skills and ability to explain productivity decisions clearly
  • Ability to follow structured instructions and produce evidence-based work

Educational Background

  • A degree or professional background in business administration, communications, project management, executive support, office administration, organizational management, or a related field is helpful
  • Equivalent practical experience in executive support, personal assistance, chief of staff work, productivity consulting, administrative coordination, or high-context support roles is also highly relevant

Nice to Have

  • Experience supporting executives, founders, senior leaders, or busy principals in high-volume administrative environments
  • Experience with inbox-zero systems, calendar optimization, commitment tracking, personal CRM workflows, or project management systems
  • Familiarity with Notion, Superhuman, Google Workspace, Microsoft 365, iCloud, Evernote, Apple Notes, or similar productivity tools
  • Experience organizing files, photos, notes, personal knowledge bases, or household/admin systems
  • Strong attention to detail in communication-heavy and schedule-heavy workflows
