About the Role

The Talent Acquisition Coordinator supports recruitment operations by coordinating hiring activities and maintaining accurate records. The role ensures efficient scheduling, documentation, and candidate communication. The position contributes to a smooth hiring process, compliance, and positive candidate experience.

What You’ll Do

Recruitment Coordination & Administrative Support

  • Own recruitment coordination by managing scheduling and candidate communication activities.
  • Schedule interviews and coordinate calendars for candidates and hiring teams.
  • Maintain applicant tracking system records with accurate candidate information.
  • Prepare interview materials and support hiring process logistics.
  • Communicate with candidates regarding interview details and status updates.
  • Support onboarding coordination and pre-employment documentation processes.

Documentation & Compliance Support

  • Maintain accurate recruitment records and ensure documentation compliance requirements.
  • Ensure candidate documentation is complete, accurate, and properly stored.
  • Support compliance with hiring policies, procedures, and employment regulations.
  • Assist with audit preparation and documentation related to recruitment activities.
  • Track recruitment metrics and maintain reporting documentation.
  • Ensure confidentiality of candidate and employee information.

Cross-Functional Collaboration & Process Improvement

  • Collaborate with recruiters, hiring managers, and HR teams on hiring needs.
  • Support job posting activities across internal and external platforms.
  • Identify process improvements to enhance recruitment efficiency and candidate experience.
  • Assist with recruitment events and hiring initiatives as needed.
  • Communicate issues or delays impacting hiring timelines to stakeholders.
  • Support continuous improvement initiatives within talent acquisition processes.

Additional Expectations

  • Remain compliant with the Code of Conduct and Policies which includes the Kingspan Group Compliance Policy.
  • Ensure that all duties related to product compliance are adhered to in accordance with the Product Compliance Policy, Laws, Regulations, and market demands.
  • Responsible for all tasks to achieve compliance goals and demands of the Compliance Management System.
  • Must raise concerns related to the Compliance Management System to their supervisor, manager, or any member of the Leadership Team, or through the confidential whistle blower service.

What You'll Bring

  • High School Diploma or GED required; Associate’s or Bachelor’s degree preferred.
  • 1 - 3 years of administrative or HR support experience preferred.
  • Experience with applicant tracking systems or HRIS preferred.
  • Strong organizational and time management skills.
  • Strong attention to detail and accuracy in documentation.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Strong communication and interpersonal skills.
  • Ability to handle confidential information with discretion.
