We're searching for a US-based Healthcare Documentation Specialist to join our OneSOURCE team, so that we can support sterile processing teams at hospitals and major government clients — including the VA, Department of Health, Navy, and Air Force — with accurate, current manufacturer documentation. The Healthcare Documentation Specialist will research manufacturers, obtain Instructions for Use (IFUs) and sterilization/maintenance documentation, and maintain the OneSOURCE library with precision — helping reduce the risk of hospital-acquired infections and supporting safe instrument processing across healthcare facilities. 

How You'll Spend Your Time 

  • Research manufacturers and their websites to locate Instructions for Use (IFUs), sterilization protocols, and maintenance documentation — adding accurate information to the OneSOURCE library to support sterile processing teams 

  • Contact manufacturers by phone and email to request, clarify, and obtain required documentation — persistently and professionally navigating outreach conversations until the right information is secured 

  • Review technical healthcare documentation carefully and enter or maintain information with a high degree of precision to safeguard patient safety and reduce infection risk 

  • Respond to standard document inquiries from manufacturers, distributors, and healthcare facilities — escalating complex client questions to managers or the relevant relationship-management team 

  • Participate in routine quality reviews, apply feedback from senior team members, and suggest simple workflow improvements in order to enhance library accuracy and service quality 

What Kind of Things We're Most Interested in You Having 

  • A healthcare-profession background — ideally as a dental hygienist, dental assistant, biomedical technician, surgical technician, sterile processing technician, endoscopy or clinical-support professional, or comparable hands-on clinical role 

  • In-depth familiarity with (or ability to quickly become fluent in) medical-device and sterilization terminology, including IFUs, instrument reprocessing, and manufacturer documentation 

  • Proven success in roles requiring exceptional attention to detail where an error could create downstream patient-safety or operational risk 

  • Comfort calling and emailing manufacturers, vendors, or external parties persistently to obtain technical documentation or resolve issues (e.g., repair coordination, insurance follow-up, vendor outreach) 

  • Ability to work independently in a fully remote environment with a dedicated workspace, aligned to Central or Eastern time-zone working hours (team may begin as early as 6:30 a.m. Central) 

  • Sincere interest in supporting sterile processing, patient safety, and healthcare operations from a lower-exposure, remote setting 

  • A knack for working collaboratively with a small, mission-focused team while operating with self-direction day-to-day 

Microsoft/PC proficiency, prior remote-work experience, and exposure to ISO 9001 are helpful but trainable — not required.
